This is a fully remote position, open to applicants in United Kingdom.
• Act as the main point of contact for legal inquiries, collect information, align priorities with legal counsel, and monitor matters until resolution.
• Establish relationships throughout XBOW and clarify legal procedures, approval requirements, and subsequent steps.
• Collaborate with Sales and Finance to advance commercial agreements and address operational challenges.
• Provide stakeholders with updates regarding timelines, dependencies, and pending decisions.
• Draft, review, and negotiate NDAs and lower-risk commercial agreements in accordance with playbooks and authorized limits.
• Prepare customer-contracting templates and order forms approved by management, facilitate internal reviews, and oversee approvals and signatures.
• Identify non-standard terms and escalate issues related to liability, intellectual property, data protection, and security testing to legal counsel.
• Maintain comprehensive contract records while tracking obligations, renewal dates, and notice periods.
• Develop contract templates, negotiation playbooks, and practical guidance documentation.
• Oversee legal intake, matter tracking, and contract management systems.
• Enhance workflows for contract reviews, approvals, signatures, and document retention.
• Report on legal demand, contract turnaround times, unresolved matters, and external legal expenditures.
• Manage the onboarding of external counsel, engagement administration, invoicing, and budget tracking.
• Supervise legal subscriptions, service providers, and their renewals.
• Identify opportunities to automate repetitive tasks using approved AI tools while ensuring the proper handling of confidential information.
• Conduct legal research and prepare initial drafts of internal guidance, correspondence, and various documents.
• Assist with corporate housekeeping, governance records, and signature processes.
• Maintain legal policies and facilitate training and internal guidance.
• Collaborate with Legal, Security, and other teams to conduct customer due diligence and manage related documentation.
• Support legal projects as XBOW’s products, operations, and international footprint evolve.
• 8+ years of relevant experience in paralegal work and legal operations, including a minimum of 2+ years in-house.
• A legal qualification, paralegal certification, or equivalent relevant experience; qualification as a solicitor or attorney is not mandatory.
• Hands-on experience supporting commercial contracts and working within established templates, playbooks, and approval processes.
• Proven ability to take ownership of legal processes and enhance the functioning of a legal team.
• Excellent organizational skills and attention to detail; capable of managing competing priorities and following matters to completion.
• Confidence in engaging with business stakeholders and translating legal processes into clear, actionable steps.
• Strong judgment regarding issues that can be resolved independently and those that require legal counsel input.
• Experience with contract management, electronic signature, and workflow tools, along with an interest in responsible AI applications.
• Background in technology, SaaS, cybersecurity, or AI is a plus.
• Familiarity with customer procurement processes, data protection documentation, and international business operations is advantageous.
• Experience in a startup or scale-up environment is highly preferred.
