Legal Intake Specialist

This is a fully remote position, open to applicants in Mexico, +3 more states.

📋 Description

• Ensure that all interactions adhere to confidentiality standards.

• Follow up with clients using established email workflows aligned with case status.

• Manage both incoming and outgoing calls from prospective and current clients.

• Accurately maintain and update the CRM pipeline.

• Assess and qualify callers based on predetermined intake criteria.

• Complete live intake forms in Clio while engaging with callers.

• Keep precise records and documentation within the case management system.

• Provide clients with timely updates concerning their case progress.

• Support a disability law practice by overseeing client intake and initial case communication.

• Deliver prompt responses, accurate information, and a professional first impression of the firm.

⛳️ Requirements

• Experience in legal intake or a similar case management role.

• Strong verbal communication abilities with confidence during phone interactions.

• High degree of confidentiality and discretion.

• Exceptional attention to detail and accuracy.

• Capability to manage multiple follow-ups while staying organized.

• Consistent and dependable work habits.

• Comfort in working within structured workflows and CRM systems.

• Proficient in professional written communication for client updates.

• Full-time availability in Eastern Standard Time.

• Availability from 9:00 a.m. to 5:30 p.m. EST.

• Proficiency in Spanish is required.

• A quiet and private workspace appropriate for handling confidential information.

• Two monitors or a laptop with an additional external monitor.

• Location must be compatible with the firm’s VoIP provider country coverage.

• Proficient in Clio for CRM and intake management.

• Compatibility with a VoIP phone system subject to geographic service limitations.

• English-speaking role; application materials must be submitted in English.
