This is a fully remote position, open to applicants in Colombia.
• Take ownership of the COO’s calendar by managing scheduling, prioritization, and addressing conflicts.
• Serve as a gatekeeper for the COO’s time, safeguarding focus periods and diplomatically pushing back when necessary.
• Organize meetings among various stakeholders with time-sensitive deadlines.
• Oversee the COO’s inbox by triaging messages, flagging urgent items, drafting responses, and ensuring follow-through.
• Compose and send internal communications to attorneys, paralegals, case managers, and staff on behalf of the COO.
• Manage external communications with vendors, courts, opposing counsel, and referral partners.
• Communicate COO directives across departments and monitor deliverables until completion.
• Collaborate with vendors: schedule calls, track outstanding items, and follow up on agreements.
• Maintain operational documents, standard operating procedures (SOPs), and firm-wide reference materials.
• Prepare materials for leadership meetings and reporting purposes.
• Assist with HR-related tasks, including drafting personnel communications and tracking documentation.
• Monitor and proactively highlight key legal dates such as mediations, depositions, hearings, and trials.
• Coordinate with attorneys and paralegals to ensure the COO’s calendar aligns with active litigation timelines.
• Handle logistics for legal events (mediators, court reporters, vendors, etc.)
• Minimum of 3 years of experience as an Executive Assistant supporting senior leadership.
• Experience in a law firm or legal environment is required.
• Strong preference for expertise in Personal Injury, but open to Employment Law workflows.
• Demonstrated ability to manage intricate, high-volume calendars and inboxes.
• Exceptional written communication skills with the capability to draft correspondence independently.
• High degree of professionalism and discretion when dealing with confidential information.
• Tech-savvy with experience in Google Workspace and task management tools.
• Familiarity with legal case management software (e.g., Filevine) is a plus.
• Experience in coordinating legal proceedings such as depositions, mediations, hearings, and trials.
• Experience working with remote teams or virtual assistants.
• Bilingual in English and Spanish is required.
