This is a fully remote position, open to applicants in Germany.
• Identifying and recruiting external lecturers, which includes drafting, coordinating, and issuing framework agreements and teaching assignments.
• Creating, developing, and sustaining a nationwide network of lecturers along with a cross-departmental lecturer database.
• Gathering, coordinating, and systematically recording lecturers' availability.
• Planning, organizing, and executing onboarding processes for new lecturers (e.g., issuing lecturer ID cards, providing system access, and conducting initial briefings).
• Maintaining and managing all lecturer-related information within the Student Information System (e.g., CVs, framework contracts, teaching assignments, supplementary agreements, and documents for examination authorizations).
• Preparing and issuing certificates and reference letters for teaching staff.
• Contributing to the design, development, and implementation of processes and policies related to lecturer management.
• Proactively nurturing lecturer relationships by organizing meetings, semester kick-offs/refreshers, and other collaborative formats.
• Overseeing and monitoring the self-billing process in partnership with relevant stakeholders.
• Experience in recruiting external lecturers or freelance personnel.
• Proficient in managing databases as well as administrative and CRM systems.
• Exceptional organizational skills, particularly in planning.
• Fundamental knowledge of billing and invoicing processes.
• Excellent communication and networking abilities.
• Service-oriented, professional attitude combined with high self-organization and reliability.
• Proactive and structured approach to work, with the ability to coordinate across various departments.
• Experience in event organization.
• Background in a university, adult education, or academic setting is advantageous.
• Proficient in German and English, both written and spoken.
