This is a fully remote position, open to applicants in Poland.
• Assist in the planning and scheduling of annual training and learning initiatives across various client programs.
• Organize, publish, and manage learning events along with course registrations.
• Coordinate logistics involving trainers, guest speakers, venues, accommodations, catering services, printing vendors, and equipment suppliers.
• Prepare and distribute joining instructions as well as communications for learners.
• Arrange travel and lodging for facilitators and participants as necessary.
• Address inquiries from learners, clients, and stakeholders via phone and email.
• Monitor and fulfill established Service Level Agreements (SLAs) and performance objectives.
• Keep accurate records and manage administrative documentation.
• Identify potential improvements to processes and enhance service delivery.
• Provide support to internal teams, clients, and vendors across multiple regions and time zones.
• Manage logistics for both virtual and instructor-led training sessions.
• Foster strong relationships with clients and stakeholders.
• Contribute to internal Key Performance Indicators (KPIs), SLAs, and customer satisfaction goals.
• Proficient in both written and spoken English.
• Proven experience in operations, administration, customer service, or coordination roles.
• Exceptional organizational and time management capabilities.
• Strong verbal and written communication skills.
• Good working knowledge of Microsoft Word and Excel.
• Customer-oriented mindset with a keen attention to detail.
• Ability to juggle multiple priorities and perform effectively under pressure.
• Experience working collaboratively with cross-functional and virtual teams.
• Strong problem-solving abilities, resilience, and adaptability.
• Comfortable operating across diverse cultures and time zones.
• Previous experience in the Learning & Development or Training sector is preferred.
• Familiarity with Learning Management Systems (LMS) is preferred.
• Advanced proficiency in Microsoft Office applications is preferred.
• Experience in managing training logistics, events, or learning administration activities is preferred.
• Proven track record of identifying and implementing process improvements is preferred.
• Ability to work in the EMEA time zone, specifically from 9AM to 5PM CET.
