Lead Project Manager

This is a fully remote position, open to applicants in Costa Rica.

📋 Description

• Oversee Project Coordinators, which involves: Guiding and outlining career trajectories by enhancing core competencies.

• Ensuring that appropriate training is provided and properly documented.

• Reviewing system configurations and documentation to guarantee the quality of deliverables aligns with quality standards and SOPs.

• Organizing regular status meetings to improve communication, track workloads, and offer forecasting assistance.

• Gathering and tracking defined staff performance metrics.

• Independently manage the Planning and Setup, Monitoring, and Closeout stages of program/study management which includes: Collecting customer requirements and communicating them to internal teams. Preparing study documentation. Distributing and tracking equipment. Creating and disseminating reports. Storing study data and documentation. Setting and managing customer expectations appropriately.

• Oversee study timelines and handle the financial aspects of each program/study, which includes: Budget assessments. Revenue predictions. Changes in scope. Invoice reconciliation.

• Identify potential risks in studies and propose mitigations, escalating as necessary.

• Manage internal and external negotiations while fostering collaboration to create a positive team environment, enhance communication, and ensure efficient resource utilization to meet study timelines and contractual commitments.

• Develop and implement problem-solving strategies to resolve customer issues and maintain documentation for issue tracking to monitor progress and ensure timely resolution of escalated customer concerns.

• Provide primary support to cross-trained team members from other service lines and may act as a point of contact for specific areas within service lines.

• Influence strategic decision-making and execute departmental goals according to timeline.

• Act as the department lead for operational readiness concerning new product initiatives as relevant within the Line of Business.

• May assist study teams in maintaining consistency across Therapeutic Areas or Programs to ensure uniformity in study setups, optimizing efficiencies, and adhering to customer program objectives.

• Ensure compliance with timely training completion and documentation.

• Present study services at Investigator Meetings or site initiation meetings as required.

• Participate in client meetings alongside Business Development and/or Operational teams to showcase Company services and Operational Data flow as needed and engage in sales initiatives to drive additional revenue.

• Aid in crafting training plans and onboarding new members of the Project Management team.

• Execute additional duties, assignments, or special projects as required by time and circumstances.

⛳️ Requirements

• Bachelor’s degree and demonstrated Project Management skills or relevant industry experience, including expertise in primary service lines and/or support for studies in multiple service lines.

• Proven ability to mentor team members.

• 5-10 years of experience in the pharmaceutical industry (or a related sector), with a focus on project management.

• Understanding of the drug development process.

• Exceptional organizational, interpersonal, time management, and prioritization abilities.

• Strong verbal and written communication skills, with the ability to communicate effectively in English.

• Proficient in Microsoft Office applications.

• Detail-oriented with a demonstrated responsiveness to inquiries and requests.

• Valid passport and willingness to travel approximately 20% of the time.
