đź“‹ Description

• This role involves delivering essential support functions for our CEO and Partners, both personally and professionally.

• Provides administrative assistance to the Executive Leadership Team on various professional and personal matters.

• Oversees daily and weekly responsibilities, collaborating with the team and working independently with a high level of discretion and autonomy.

• Manages both Personal and Business Calendar & Meeting coordination—scheduling, modifying, and confirming appointments, registering for and RSVPing to events, safeguarding blocks of time for work, handling personal engagements, and proactively balancing external commitments throughout the week.

• Coordinates travel and logistics—arranging travel and accommodations as necessary; providing directions, traffic estimates, travel times, and parking information; regularly tracking and reconciling mileage for reporting purposes.

• Ensures appointment readiness—actively preparing materials for meetings, guaranteeing preparedness for both business and personal appointments, and providing post-meeting support for action items and follow-ups.

• Offers reminders and prioritizes tasks across professional and personal obligations.

• Manages email inboxes and oversees the CEO's and Partners' LinkedIn accounts, updating contact lists as needed, including composing, proofreading, and sending emails.

• Screens, answers, and returns phone calls, WhatsApp messages, and text messages for both business and personal matters in a professional manner.

• Maintains client information within the CRM system.

• Executes administrative tasks such as ordering department supplies, coordinating equipment repairs, and servicing equipment, including obtaining necessary authorizations for items requiring prior approval for both office and personal needs when applicable.

• Assists with food orders, lunch planning, and the organization of other business-related meetings or personal requests as needed.

• Performs various clerical tasks such as filing, photocopying, scanning, faxing, tracking, and archiving while maintaining a meticulous online filing system.

• Prepares documents, letters, presentations, and other communication materials for internal distribution, ensuring typographical accuracy, creating graphs, and other visual displays.

• Contributes to team efforts by achieving related results as necessary.

• Prepares, verifies, and processes expense reports and client documents, including personal expense reporting when required.

• During slower periods, may concentrate primarily on data entry tasks.

• Offers assistance to other departments as needed.


⛳️ Requirements

• Bachelor's Degree in a relevant field (recent graduates are encouraged to apply).

• Experience in a professional environment is advantageous—backgrounds in executive/personal assistance, administration, program coordination, event planning, or communications are particularly welcomed, although internships, part-time positions, volunteer coordination, or relevant academic projects are also considered.

• Proficiency in Microsoft Word, Excel, and Outlook.

• Native or bilingual proficiency in Turkish, with excellent verbal and written communication skills in business English. All interviews will be conducted in English!

• A positive, team-oriented attitude.

• This is a full-time remote position.

• A dedicated office space is required.

• Due to the nature of executive support, work outside of standard business hours may be necessary. The ideal candidate must be flexible.

• Work hours will align with US time zones (EST).
