This is a fully remote position, open to applicants in United States.
• Manage and place product orders for ongoing interior design projects.
• Oversee purchasing budgets and control spending within established limits.
• Monitor orders from various vendors and coordinate timely deliveries with installers.
• Keep accurate purchasing records in project management software.
• Liaise with warehouse teams regarding deliveries, damaged items, and inventory management.
• Ensure that all products are received prior to installation.
• Address issues related to delayed, missing, or damaged orders and facilitate replacements or reorders.
• Serve as a liaison between clients, designers, and internal team members.
• Organize project documentation, maintain files, and distribute onboarding materials and checklists.
• Update project management systems with task statuses and deadlines.
• Conduct regular project audits.
• Prepare and share client presentation materials.
• Record meeting notes, decisions made, and next steps.
• Communicate project handoff details, purchasing reminders, and milestone updates.
• Create short instructional videos for clients.
• Address client inquiries post-delivery and escalate complex issues as needed.
• Develop installation guides and manage requests for replacements or out-of-stock products.
• Review client revision requests before escalating them to senior designers.
• Maintain digital product libraries, design resources, affiliate purchasing links, online product collections, and internal documentation.
• Provide ongoing administrative support to designers and project teams.
• 1–3 years of experience in roles such as Virtual Assistant, Project Coordinator, Administrative Assistant, or Operations Coordinator.
• Prior experience in supporting an interior design firm, architecture practice, or creative agency is highly preferred.
• Outstanding organizational skills with the capacity to manage multiple projects concurrently.
• Strong attention to detail, especially regarding purchasing, documentation, and order tracking.
• Familiarity with interior design terminology, purchasing workflows, trade vendors, purchase orders, lead times, and U.S. measurements.
• Comfortable working autonomously in a fast-paced, growing environment.
• Proactive in identifying solutions without the need for constant supervision.
• Proficient in using project management software and documentation systems.
• Excellent written and verbal communication skills in English.
• Professional and polished in interactions with clients, vendors, and internal teams.
• Collaborative, reliable, and dedicated to providing an outstanding client experience.
• Quick learner of new systems and adaptable to changing environments.
• Fully remote work opportunity from LATAM.
