This is a fully remote position, open to applicants in South Africa.
• Respond promptly to incoming referrals generated through Meta lead campaigns and referral channels.
• Reach out to prospective families via phone, email, and text messaging.
• Develop rapport and establish trust with families through professional and compassionate communication.
• Guide families through the enrollment and onboarding journey.
• Conduct intake calls and collect necessary client information and documentation.
• Clearly articulate agency services, processes, and next steps to potential clients.
• Maintain consistent follow-up with referrals to enhance conversion rates.
• Monitor referral status and keep accurate records within company systems.
• Collaborate with internal teams to ensure seamless onboarding and service initiation.
• Keep accurate intake documentation and administrative records.
• Assist with additional intake, referral, and client coordination activities as needed.
• Bachelor’s degree (BA/BS) is highly preferred.
• Previous experience as an Intake Coordinator, Intake Specialist, Referral Coordinator, Client Intake Coordinator, or a similar intake-focused role is required.
• Experience in intake coordination is essential.
• Strong customer service and client relationship management experience is preferred.
• Exceptional communication and interpersonal skills are necessary.
• Must be extremely personable, friendly, and professional in all interactions.
• A strong sense of initiative and self-motivation is required.
• Ability to work with urgency and proactively manage referral pipelines is essential.
• Strong organizational and follow-up skills are required.
• Ability to foster trust and create a positive experience for prospective families is necessary.
• Strong attention to detail and administrative accuracy is required.
• Experience in healthcare, ABA services, behavioral health, or related fields is preferred.
• Familiarity with Meta Leads, referral management systems, or lead-generation platforms is preferred.
• Ability to work independently in a remote environment is essential.
• A reliable internet connection and a suitable home office setup are required.
• Comfortable working U.S. hours.
