Insurance Operations Broker Support Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Collaborate with insurance producers and General Agent partners to create precise insurance quotes, plan comparisons, and client-ready proposals.

• Aid in the preparation and delivery of proposal materials that are in line with carrier guidelines and meet client requirements.

• Assist in the pre-sale and renewal processes by managing data collection and submission timelines.

• Oversee and monitor agency and producer licensing across various states.

• Coordinate licensing applications, renewals, and the requirements for continuing education.

• Assist producers in preparing for and scheduling licensing exams.

• Ensure producers have the necessary system and carrier access, including carrier portals, quoting tools, and internal systems.

• Keep accurate records of licensing and access, ensuring ongoing compliance with state and carrier requirements.

• Build and maintain relationships with insurance carriers and partners.

• Manage the carrier appointment processes, including submissions, follow-ups, and approvals.

• Coordinate the requirements for carrier onboarding, contracting, portal access, and necessary documentation.

• Act as a point of contact for operational inquiries related to carriers.

• Track and maintain the structures of carrier commissions and their payment schedules.

• Develop and manage projections and reporting related to commissions.

• Reconcile commission payments and address discrepancies with carriers.

• Provide internal stakeholders with insights and reporting related to commissions.

• Design, document, and implement scalable workflows in areas such as licensing, quoting support, carrier management, and commissions.

• Establish standard operating procedures and ensure adherence within the agency.

• Identify gaps, inefficiencies, and risks, and implement solutions to enhance accuracy and scalability.

• Operate independently to create structure, enforce accountability, and achieve consistent outcomes.

⛳️ Requirements

• 3–6+ years of experience in insurance operations, brokerage support, or agency administration is preferred.

• Experience in managing licensing and compliance across multiple states.

• Familiarity with commission structures, reconciliation, and reporting processes.

• Experience in onboarding users to carrier portals, quoting tools, and internal systems.

• Proficient in CRM systems and Excel; advanced Excel skills are preferred.

• Strong understanding of insurance products, quoting processes, and carrier structures.

• Proven ability to build and implement processes in a startup or evolving environment.

• Capability to manage multiple workflows with precision and accountability.

• Ability to work autonomously, prioritize tasks effectively, and achieve results with minimal supervision.

• Excellent communication skills to interact clearly and professionally with internal teams, partners, and carriers.

• Analytical skills to interpret commission data and identify discrepancies.

• Preferred familiarity with Zywave and Sircon systems.

• Ability to participate in or facilitate video conferences and virtual meetings.

• Must be capable of lifting up to 15 pounds occasionally.
