This is a fully remote position, open to applicants in Philippines.
• Ensure precise documentation of orders, shipments, and fulfillment activities within NetSuite.
• Oversee orders in progress, monitor timelines, and pinpoint potential delays or exceptions.
• Collaborate with factories, suppliers, brokers, 3PL partners, and internal teams to address order and shipment challenges.
• Utilize NetSuite, Vessel Finder, and related tracking tools to oversee order status and delivery details.
• Generate exception reports, delivery forecasts, and regular order lifecycle updates for operations and management.
• Demonstrate strong attention to detail, organizational skills, effective follow-up, and communication across multiple active orders.
• Track and manage each assigned sales order and vendor purchase order throughout the order lifecycle.
• Create, update, and sustain inbound shipment records in NetSuite, including changes in open purchase order status and item fulfillment specifics.
• Confirm that each line item has an up-to-date daily status report.
• Monitor inbound shipments through Vessel Finder, broker updates, supplier information, and relevant tracking tools.
• Receive shipping specifications and revise NetSuite item fulfillments with shipping details, packing status, and delivery information.
• Collaborate with the Import Manager to track inbound timelines, identify delays, and facilitate prompt order execution.
• Compile exception reports and follow up with suppliers, brokers, and 3PL partners to verify delivery status and address order issues.
• Provide consistent updates, daily reports, and weekly forecasts to operations and management regarding order status, on-time shipments, and potential delays.
• Maintain regular communication with internal operations teams, suppliers, brokers, and third-party logistics partners to ensure orders progress through fulfillment.
• A Bachelor's degree in Supply Chain Management, Logistics, Business Administration, International Trade, or a related field is preferred.
• Demonstrated experience in import operations, international logistics, supply chain, order management, purchasing, or a similar role.
• Excellent verbal, written, and English communication skills.
• Proficiency in Mandarin is preferred but not required.
• Willingness to work overnight/graveyard shifts in Philippine time or within US operating hours.
• Proficient in both Microsoft and Google applications.
• Experience utilizing NetSuite ERP for managing purchase orders, shipment records, and order fulfillment.
• Familiarity with Vessel Finder or similar shipment tracking platforms.
• Understanding of vendor purchase orders, inbound shipments, and order lifecycle management.
• Knowledge of international logistics, freight forwarding, customs brokerage, Trade Compliance, and third-party logistics (3PL) operations.
• Experience in preparing exception reports, delivery forecasts, and operational updates.
• Strong grasp of order tracking, fulfillment processes, and shipment documentation.
• Exceptional organizational abilities with the capacity to manage multiple orders while ensuring a high degree of accuracy.
• Strong analytical, problem-solving, and follow-up skills.
