This is a fully remote position, open to applicants in Arizona, +13 more states.
• Assist the Implementation Specialist in onboarding new accounts and executing implementation tasks from the initial kickoff to the account handoff.
• Help coordinate timelines for implementation, deliverables, follow-up items, and internal deadlines.
• Aid in the preparation, organization, updating, and distribution of training materials, job aids, account guides, scripts, and other resources for implementation.
• Organize virtual training schedules, send meeting invitations, track attendance, and manage logistics related to implementation for remote learners and internal stakeholders.
• Accurately and promptly maintain implementation trackers, training records, assessment results, completion logs, and other pertinent documentation.
• Record trainee grades, quiz outcomes, completion data, and other related records in specified trackers, drives, or systems.
• Assist in ensuring account readiness by monitoring setup items such as access requests, logins, materials readiness, and other pre-launch requirements; escalate issues when necessary.
• Help maintain version control for implementation documents, standard operating procedures (SOPs), checklists, training materials, and shared folders or drives.
• Assist in documenting processes, organizing protocols, and preparing account setups to facilitate a seamless implementation experience.
• Send follow-up communications, track outstanding items, and help ensure alignment among Client Relations, Performance Development, Operations, and other teams regarding deliverables and deadlines.
• Shadow implementation meetings, planning sessions, and training activities to gain a comprehensive understanding of key Implementation Specialist functions.
• Assist with updating account-specific content and support refresher training, continuing education, or follow-up tasks as assigned.
• As skills improve, help lead portions of training sessions, implementation tasks, or account transition activities under supervision.
• Monitor implementation progress and proactively identify concerns related to delays, missing information, readiness risks, or training challenges.
• Support the successful transfer of newly implemented accounts to Team Leads, Performance Development team members, and Operations.
• Cross-train in all primary responsibilities of the Implementation Specialist role, with the expectation of gradually taking on more responsibility over time.
• Perform other duties as assigned based on departmental, client, and company needs.
• An associate degree in Communication, Business Administration, Education, Healthcare Administration, or a related field is preferred.
• 1–3 years of experience in administrative support, training coordination, onboarding, client support, project coordination, customer service, or call center operations is preferred.
• Previous experience in healthcare, client service, training support, or implementation support is preferred.
• Experience within a remote workforce, virtual training environment, or call center setting is advantageous.
• Excellent communication and customer service skills.
• Strong organizational, follow-up, and time management abilities.
• Capable of coordinating multiple tasks, deadlines, and stakeholders simultaneously.
• Keen attention to detail and accuracy in documentation.
• Quick learner of new processes, systems, and implementation functions.
• Comfortable interacting with both internal teams and external contacts in a professional manner.
• Open to feedback, coaching, and continuous development.
• Adaptable to change and able to shift priorities as business needs evolve.
• Strong written communication skills, including grammar, spelling, and data entry proficiency.
• Intermediate skills in Microsoft Office applications, including Word, Outlook, and PowerPoint; basic to intermediate proficiency in Excel is preferred.
• Familiarity with virtual meeting platforms, shared drives, trackers, and training documentation is preferred.
