This is a fully remote position, open to applicants in Philippines.
β’ Ensure all pre-employment compliance requirements are fulfilled, including verification of right-to-work, visa documentation, and necessary employment checks.
β’ Maintain precise and current employee records across HR and operational systems to guarantee data integrity.
β’ Conduct periodic audits of HR records and employment documentation to ensure ongoing adherence to regulatory standards.
β’ Prepare and evaluate work eligibility and visa status reports to ensure audit preparedness.
β’ Manage and sustain employee data in SimPro, ensuring consistency with Employment Hero.
β’ Properly archive records of terminated employees within operational systems.
β’ Assist managers in drafting employment contracts and setting up the onboarding process.
β’ Offer general advice and guidance to the business regarding human resource issues.
β’ Gather, monitor, and file WorkCover notifications, Certificates of Capacity, and follow up with managers concerning suitable duties information.
β’ Accurately and promptly prepare employment separation certificates and related offboarding documentation.
β’ Support payroll processing activities, which include preparing payroll data and payroll journal entries.
β’ Provide payroll information related to claims, coordinating with case officers and supplying wage details as necessary.
β’ Assist with annual End-of-Financial-Year updates, including revising contract templates, applying CPI increases, and tracking employee modifications.
β’ Regularly assess and enhance HR processes and procedures in collaboration with the Finance and HSEQ teams to boost efficiency.
β’ Follow up with employees to ensure acknowledgment of Integrated Management System (IMS) documents, standard operating procedures (SOPs), and safe work method statements (SWMS).
β’ Monitor and report on compliance certificates and the completion of Learning Management System (LMS) training.
β’ Maintain a monthly headcount report that details current employee numbers by location and department.
β’ Coordinate candidate recruitment processes, including shortlisting, scheduling interviews, managing calendars, and responding to candidate inquiries.
β’ A minimum of 3 years of experience in a similar HR Coordinator or HR Generalist position.
β’ Prior work experience in a service, logistics, manufacturing, or construction setting.
β’ Strong understanding of Australian employment legislation, pre-employment compliance, and visa verification procedures.
β’ Practical experience with Employment Hero or comparable cloud-based HR software.
β’ Exceptional organizational skills with the ability to independently manage multiple administrative and reporting tasks.
β’ High-level written and verbal communication skills in English with the ability to establish rapport across diverse teams.
β’ Strong proficiency in the Microsoft Office 365 suite.
β’ Capability to work independently and demonstrate initiative in a fast-paced environment.
β’ Nice-to-Have Skills
β’ Formal studies or qualifications in Human Resources are a plus.
β’ Prior experience using SimPro software for workforce or project management.
β’ Familiarity with WorkCover claims coordination and injury management administration.
