This is a fully remote position, open to applicants in South Africa.
• Maintain comprehensive and accurate digital personnel files, including contracts, amendments, compensation adjustments, and statutory documents.
• Ensure all documentation is duly signed, organized, and easily accessible.
• Prepare and verify monthly payroll inputs, encompassing overtime, unpaid leave, bonuses, commissions, and allowances.
• Reconcile payroll data with attendance records, leave data, and approved modifications.
• Assist in benefits administration (enrollments, modifications, terminations) and keep precise benefits records.
• Collaborate with finance and bookkeeping teams to guarantee payroll accuracy and timely processing.
• Oversee administrative onboarding logistics (employee setup, documentation, payroll, and benefits enrollment).
• Manage offboarding processes, including final payroll inputs, benefits termination, and revocation of access.
• Monitor attendance records and leave balances.
• Process leave requests in accordance with company policy and payroll deadlines.
• Track visas, certifications, benefits eligibility, payroll-related compliance documents, and policy acknowledgments.
• Ensure the company remains prepared for audits from both HR and payroll perspectives.
• Draft professional internal documentation, including employment verifications, compensation letters, benefits communications, and policy updates.
• Maintain HR and payroll trackers and generate regular reports on headcount, payroll changes, leave usage, and benefits costs.
• Conduct regular audits of HRIS and payroll data to ensure it serves as the sole source of truth.
• Troubleshoot basic HRIS and payroll system issues.
• A minimum of 2+ years in HR administration or HR Generalist support with considerable payroll and benefits exposure.
• Practical experience in supporting payroll, reconciliations, or maintaining financial records.
• Highly detail-oriented with a strong capability to identify discrepancies in payroll data, contracts, or spreadsheets.
• Demonstrated ability to manage sensitive employee and financial information with discretion and integrity.
• Experience with HRIS and payroll platforms (e.g., Rippling, BambooHR, Gusto, or similar).
• Advanced proficiency in Google Sheets / Excel (formulas, reconciliation, data validation).
• Excellent written English suitable for payroll documentation, benefits communications, and formal HR correspondence.
