This is a fully remote position, open to applicants in South Africa.
• The HR Administrator is tasked with delivering administrative support throughout the lifecycle of contractors and employees, primarily concentrating on onboarding, contract management, recruitment coordination, HR record maintenance, and scheduling interviews.
• Ensure that all necessary information for contract creation is precise and comprehensive, including:
• - Start dates
• - Salary and remuneration details
• - Client billing rates
• - Paid Time Off (PTO) allocations
• - Full-time or Part-time status
• - Equipment requirements
• - Aid with contract amendments, inquiries, addendums, and updates as required
• Maintain accurate records of employees and contractors across all HR systems.
• Add new contractors to the Employee Database and update records as necessary.
• Keep termination records and ensure that contractor databases are accurate and up-to-date.
• Update monthly new hire reports and HR tracking documents.
• Assist in preparing payroll sheets by verifying that new starter information is complete before payroll deadlines.
• Monitor probation review dates as applicable.
• Organize HR files and ensure all documentation is thorough, organized, and compliant.
• Maintain records of equipment allocations for contractors.
• Safeguard confidentiality regarding all employee, contractor, and company information.
• Prepare letters for increases, promotions, and confirmations for contractors.
• Track recruitment channels and interview feedback to ensure all successful hires are documented and progressed through the onboarding process.
• Prepare candidates for interviews by offering interview guidance, confirming role details, explaining expectations, and ensuring they are thoroughly prepared.
• Coordinate and arrange interviews between candidates, clients, recruiters, and Account Managers.
• Manage interview calendars, send invitations, confirmations, reminders, and follow-up communications.
• Communicate with clients, candidates, recruiters, and Account Managers to coordinate interview availability and to reschedule interviews when needed.
• Assist in updating and maintaining the Recruitment Tracker.
• Upload and manage criminal background checks and recruitment documentation.
• Maintain precise recruitment records and offer administrative support throughout the recruitment process.
• Support the HR Manager and Recruitment Team with additional recruitment administration as needed.
• Collaborate with the Operations Team regarding equipment needs for all new contractors.
• Ensure that equipment requests are submitted accurately and within the required timeframes.
• Assist with tracking and recovering equipment during contractor offboarding.
• Conduct exit interviews/offboarding.
• Maintain accurate data across all HR systems, databases, and trackers.
• Verify that employee and contractor data is accurate, complete, and consistently updated.
• Assist with HR reporting and monthly administrative reporting needs.
• Support HR audits by keeping organized and compliant documentation.
• Identify discrepancies in HR records and address them promptly.
• Provide administrative assistance to the HR Manager.
• Help implement and maintain HR policies, procedures, and Standard Operating Procedures (SOPs).
• Build constructive relationships with internal teams, contractors, and clients.
• Ensure a high standard of professionalism, confidentiality, and customer service in all interactions.
• Execute any other reasonable HR administrative tasks as assigned.
• Diploma or Degree in Human Resources, Business Administration, or a related area.
• At least 2 years of experience in HR Administration, Recruitment Administration, or a Human Resources support role.
• Strong proficiency in CRMs, Google Docs, and ATS.
• Experience in maintaining HR databases and employee records.
• Experience coordinating onboarding and recruitment administration.
• Excellent organizational, communication, and time management skills.

• Familiarity with Applicant Tracking Systems (ATS) and HR Information Systems (HRIS).
