• Oversee and manage several executive calendars, scheduling meetings and proactively resolving scheduling conflicts.
• Organize both internal and external meetings, create agendas, and handle executive correspondence.
• Co-manage and assist with high-level projects by monitoring timelines, follow-ups, and deliverables.
• Develop reports, presentations, and other executive documentation as required.
• Assist executives with patient scheduling and related coordination tasks.
• Collaborate with healthcare personnel to align priorities and ensure effective communication.
• Maintain compliance with HIPAA and healthcare data privacy regulations in all administrative functions.
• Manage sensitive patient and business information with care and professionalism.
• A minimum of 2 years of experience in healthcare operations, patient intake, telehealth, or roles involving patient support.
• Proven experience supporting executives within a healthcare or regulated setting.
• Familiarity with HIPAA and healthcare compliance guidelines.
• Outstanding organizational, time management, and written/verbal communication abilities.
• High level of discretion, dependability, and meticulous attention to detail.
• Capability to manage multiple priorities and stakeholders at the same time.
• Proficient with technology and confident in navigating digital systems and scheduling applications.
• Strong problem-solving abilities and proactive coordination skills.
• Background in US healthcare administration is preferred.
• Understanding of EHR/EMR systems is preferred.
• Experience in supporting multiple executives at once is preferred.
• Experience in startup or rapidly growing healthcare settings is preferred.
• Exposure to operational project coordination or workflow management is preferred.
