This is a fully remote position, open to applicants in United States.
• Phone Management: Act as the primary point of contact by overseeing incoming calls, ensuring that each interaction is conducted with professionalism, efficiency, and empathy.
• Call Routing & Operational Support: Effectively direct calls to the relevant departments while minimizing reliance on external reception services and enhancing internal responsiveness.
• Intake Support: Provide assistance with intake overflow during peak periods, capture potential leads, and support intake operations during absences or high demand.
• Client Triage & Resource Guidance: Evaluate client needs, offer referrals or resources when inquiries exceed the firm’s scope, and ensure callers are steered appropriately to avoid dead-end interactions.
• Emotional Client Support: Deliver calm, empathetic, and patient communication to clients who may be emotional, overwhelmed, or facing challenging legal matters for the first time.
• Technology & Systems Utilization: Operate within AI-driven and technology-supported workflows, utilizing tools and systems to enhance communication, responsiveness, and operational efficiency.
• Strong Communication Skills: Capability to communicate in a professional manner, quickly establish trust, and handle emotional conversations with confidence and compassion.
• High Emotional Intelligence: Essential qualities include demonstrated empathy, patience, active listening, and maintaining calmness in high-pressure situations.
• AI & Technology Mindset: A strong comfort level with AI tools and technology-driven workflows is crucial, as the firm operates within a highly systems-oriented and AI-focused culture.
• Problem Solving & Quick Thinking: Ability to think swiftly, assess situations promptly, resolve issues effectively, and direct callers intelligently without leading to dead-end interactions.
• High-Volume Work Capacity: Capacity to manage a significant volume of incoming calls and shifting priorities while upholding professionalism, responsiveness, and attention to detail throughout the day.
• Professional Services Background: Previous experience in law firms, medical offices, dental practices, physical therapy clinics, or other professional services environments is highly preferred.
• Spanish Language Skills: Bilingual candidates are strongly preferred to enhance accessibility and improve client communication.
