This is a fully remote position, open to applicants in Philippines.
• Seeking candidates based in the Philippines.
• You will collaborate directly with a small team of founders in their thirties who are managing a dynamic, fast-paced, productivity-focused business.
• You will have significant responsibility for ensuring the business operates smoothly on a daily basis, without the necessity of handling every function personally.
• Oversee and coordinate our external logistics network — including freight forwarding, 3PL/warehouse, and courier partners — to guarantee flawless day-to-day execution in the shipping and fulfillment process.
• Lead and engage in discussions with 3PL warehouses, freight forwarders, and factories.
• Monitor inventory levels, predict demand based on sales trends, and proactively identify stock risks.
• Communicate directly with factories and suppliers, including proactively following up on production, shipments, and any delays.
• Track shipments using parcel/logistics tracking services.
• Utilize a working knowledge of import/export and customs clearance processes.
• Directly supervise the customer service team, with expectations for direct reports to increase as the business expands.
• Take charge of specialized, ad hoc tasks assigned by the founders — either completing them personally or delegating and ensuring follow-through.
• Lead the integration of AI across the organization as a fundamental aspect of the role.
• Evaluate the performance of our customer service team members.
• Develop and maintain all necessary Standard Operating Procedures (SOPs) for the business.
• Participate in marketing team meetings and translate marketing initiatives (promotions, campaigns, content pushes) into operational implications.
• Manage product catalog/listing and ensure site content remains up-to-date and accurate.
• Reach out to and negotiate with potential retailers — both brick-and-mortar and online.
• Comfortable analyzing performance metrics and KPIs, transforming them into clear, actionable recommendations.
• Strong background in operations management, general management, logistics, or inventory management — preferably with experience in international logistics/import-export.
• A diverse professional background, demonstrating the capability to transition into a broad, senior generalist role.
• Experience working remotely for an international/offshore employer is highly valued.
• Experience in both D2C and B2B environments is desirable — comfortable navigating consumer-facing and business-facing aspects of a company.
• Previous B2B sales experience is advantageous — e.g., negotiating and securing large/bulk orders with retailers, distributors, or wholesale partners (this is not a retail sales position, but involves a sales component related to larger wholesale/bulk supply deals).
• Direct experience managing international incoming stock, products, and freight — including ownership of timelines from origin to delivery.
• Familiarity with local demand profiling and stock forecasting, with the ability to plan and manage the gap between manufacturing time and actual stock arrival, often spanning several months.
• Top priority: genuine, hands-on capability to integrate AI into daily operations — building automations and workflow integrations (e.g., with Gemini and Claude), continually adapting these as new models, tools, and methods emerge to enhance efficiency and productivity.
• Proficient in Google Workspace.
• Solid experience in operations and inventory management, including exposure to international logistics and import/export.
• Proven people management, team leadership, and delegation experience.
• Ownership of project/task management — comfortable leading the team's workflow through platforms like ClickUp or similar.
• Strong e-commerce fluency — hands-on experience with e-commerce sales platforms, possessing a solid understanding of end-to-end e-commerce operations.
• General knowledge of customs clearance and import/export terminology.
• Experience with accounting software (e.g., Xero, QuickBooks, or similar) and a basic understanding of bookkeeping principles — profit & loss, expenses, margins, and how to interpret standard financial reports.
• Proficient in Microsoft 365.
• Fully fluent in professional-level English — both written and spoken — with the ability to discern emotional tone and intent in both formats, as this role handles customer escalations.
• Comfortable and confident on the phone — proactively reaching out to suppliers, factories, logistics providers, and partners instead of waiting for email responses.
• Highly proactive self-starter — the founders should never need to chase you for updates or progress.
• Comfortable working autonomously and taking ownership of outcomes while keeping stakeholders informed proactively.
• Adaptable to new tools and technology, with the confidence to challenge underperforming suppliers, agencies, or consultants.
• Genuinely enjoys being "hands-on" — willing to make calls or address issues directly rather than waiting for responses.
• Strong prioritization skills across a diverse and varied workload.
