This is a fully remote position, open to applicants in Belgium, +4 more states.
• Oversee and direct strategic functional and operational projects from the planning phase through to implementation.
• Create project plans, establish timelines, define milestones, allocate resources, maintain risk registers, and determine success metrics.
• Coordinate project teams across various functions to ensure objectives are met on time.
• Organize governance meetings, project workshops, and reviews with stakeholders.
• Recognize risks, issues, dependencies, and develop strategies for mitigation.
• Prepare project updates for executives, including dashboards, status reports, and presentations.
• Ensure alignment of projects with operational standards, client expectations, and business goals.
• Assess, document, and enhance operational workflows within Global Patient Safety functions.
• Lead initiatives for process mapping, gap analysis, and continuous improvement.
• Create standardized operating procedures, process documentation, templates, and best practices.
• Set and track KPIs and metrics for process effectiveness.
• Foster sustainable process improvements via change management strategies.
• Maintain operational knowledge bases, SharePoint sites, collaboration platforms, and business documentation.
• Ensure onboarding materials, training resources, governance documentation, and communications are up-to-date and accessible.
• Coordinate inputs from subject matter experts to ensure operational content remains accurate.
• Assist in business planning, governance meetings, leadership discussions, and operational communications.
• Monitor recurring operational deliverables and business commitments.
• Advocate for effective utilization of project portfolio management and collaboration tools.
• Cultivate relationships with functional leaders, delivery teams, quality assurance, technology, and client stakeholders.
• Promote communication across global, cross-functional teams.
• Convert business requirements into actionable project plans and operational solutions.
• Manage complex initiatives across various functions.
• Influence stakeholders through effective communication, organization, and problem-solving.
• Bachelor's degree in Life Sciences, Pharmacy, Healthcare, Business, Public Health, Engineering, or a related field.
• At least 5 years of experience in pharmaceutical, biotechnology, CRO, healthcare, or life sciences sectors.
• Minimum of 3 years of experience in project management, PMO, business operations, process excellence, or consulting.
• Proven track record of leading cross-functional projects in complex global organizations.
• Proficient in business process mapping, process redesign, and methodologies for continuous improvement.
• Exceptional stakeholder management, communication, and presentation capabilities.
• Strong organizational skills with the ability to juggle multiple priorities efficiently.
• Advanced skills in Microsoft Office Suite, Microsoft Teams, SharePoint, and project management tools.
• Familiarity with project portfolio management systems such as Planisware, Smartsheet, MS Project, or similar platforms.
• Experience in supporting Global Patient Safety, Pharmacovigilance, Drug Safety, Clinical Development, Regulatory Affairs, Medical Affairs, or other GxP-regulated functions.
• Background in Functional Service Provider or Contract Research Organization environments.
• Experience in supporting global client partnerships and matrix organizations.
• Involvement in organizational change management or business transformation initiatives.
• PMP certification or an equivalent project management certification is preferred.
• Lean Six Sigma or continuous improvement certification is a plus.
