This is a fully remote position, open to applicants in Philippines.
• Respond to incoming patient calls and inquiries related to wellness and aesthetic services, including Hormone Replacement Therapy (HRT), Botox, Fillers, integrative wellness treatments, and personalized healthcare services.
• Oversee appointment scheduling, rescheduling, confirmations, and calendar management.
• Execute follow-up calls with patients after procedures and treatments.
• Conduct patient retention calls and follow-ups at the 4-week mark.
• Distribute outreach messages for Google reviews and oversee review link management.
• Handle patient messaging and communication effectively.
• Assist in managing calendar and email communications.
• Provide support for billing and insurance verification processes.
• Uphold professionalism, confidentiality, and high standards of patient care.
• Facilitate daily front desk and administrative operations remotely.
• Respond to incoming calls in a timely manner to avoid voicemail overflow.
• Perform follow-up calls with patients post-procedure.
• Oversee outreach for Google reviews and efforts to retain patients.
• Medical education or degree: Not mandatory.
• Previous experience as a Virtual Assistant: Preferred but not essential.
• Medical license (doctor, nurse, PT, etc.): Not required.
• Previous experience in a medical spa, wellness clinic, concierge medical practice, integrative health clinic, or aesthetic practice preferred.
• Understanding of wellness, hormone optimization, and aesthetic terminology/services.
• Experience in patient communication, appointment scheduling, or virtual receptionist tasks is highly desirable.
• HIPAA training and certification preferred.
• Background in customer service, patient care coordination, or virtual receptionist roles is advantageous.
• Must possess proficiency in speaking and writing English clearly.
• Relevant work experience is necessary.
• Ability to provide an NBI clearance and/or Local Police Clearance background check prior to onboarding [mandatory].
• Must be available for video meetings with the camera on when required.
