Frame Purchasing Specialist – Procurement Associate

This is a fully remote position, open to applicants in Mexico.

📋 Description

• Review incoming customer orders in Shopify, ensuring frame and prescription order details are accurate.

• Accurately and promptly place frame orders through vendor portals.

• Input customer information and order details into vendor systems as necessary.

• Ensure compliance with vendor-specific purchasing requirements and procedures for all orders.

• Acquire knowledge and eventually oversee the prescription lens ordering processes and vendor requirements.

• Coordinate the procurement of frames and lenses to ensure efficient order progression through production.

• Directly communicate with frame and lens vendors about product availability, lead times, and order statuses.

• Monitor vendor inventory to identify potential fulfillment issues before they affect customer orders.

• Follow up on back orders and delayed shipments to guarantee timely fulfillment.

• Build strong relationships with vendors to enhance communication and resolve issues swiftly.

• Manage scenarios where ordered frames or lenses are unavailable, discontinued, or on back order.

• Research alternative solutions and coordinate internally on replacement options when necessary.

• Understand and manage vendor purchasing regulations, including minimum order quantities and bulk purchasing requirements.

• Maintain precise records of vendor information, order history, and purchasing activities.

• Collaborate with the RX customer service team to provide updates on orders and fulfillment timelines.

• Cross-train in RX customer service processes to offer operational flexibility and support during peak demand periods.

• Assist with additional operational and fulfillment tasks as required.

⛳️ Requirements

• A minimum of 2 years of experience in the optical, eyewear, ophthalmology, optometry, or healthcare sectors.

• Experience in frame ordering, optical order processing, procurement, or vendor coordination.

• Familiarity with Shopify or similar e-commerce platforms.

• Knowledge of optical laboratory ordering systems or vendor portals.

• Prior experience in ordering ophthalmic lenses or managing RX lens workflows.

• Experience with inventory management systems.

• Strong attention to detail along with excellent organizational skills.

• Exceptional written and verbal communication skills in English.

• Ability to manage multiple orders, vendors, and priorities at the same time.

• Comfortable communicating with vendors via phone, email, and vendor portals.

• Strong problem-solving abilities with the capacity to navigate exceptions independently.

• Quick learner of new systems and processes.
