This is a fully remote position, open to applicants in Canada.
• Oversee all charter and commercial flight bookings for project personnel.
• Organize travel itineraries, including camp arrivals, departures, and transportation logistics.
• Track flight schedules and inform employees and site supervision of any changes, delays, or cancellations.
• Ensure that all travel arrangements are in line with project mobilization and demobilization timelines.
• Maintain precise travel records, flight manifests, and employee travel details.
• Collaborate with travel providers, camp staff, and internal teams to facilitate smooth workforce movement.
• Assist with arranging accommodations and ground transportation as needed.
• Respond swiftly to last-minute travel adjustments and offer effective solutions to minimize project disruptions.
• Compile daily and weekly travel reports while keeping documentation organized.
• Communicate professionally with employees regarding travel instructions, schedules, and necessary documentation.
• Provide support to project administration with additional administrative tasks as needed.
• Uphold confidentiality of employee and travel information, demonstrating professionalism and excellent customer service.
• Prior experience in a Flight Coordinator, Travel Coordinator, Logistics Coordinator, Project Administrator, or a similar administrative role.
• Experience in coordinating travel within the Oil & Gas or Industrial Construction sectors is a significant advantage.
• Proficient in Microsoft Office Suite, especially Microsoft Excel and Outlook.
• Strong organizational and multitasking abilities with remarkable attention to detail.
• Capable of prioritizing competing deadlines in a high-paced turnaround environment.
• Excellent verbal and written communication skills.
• Willingness to commit to a 12 & 2 rotation, working up to 12-hour days throughout the turnaround duration.
• A valid Class 5 Driver's License is regarded as an asset.
• Fly-in/Fly-out opportunity with charter flights available from Edmonton or Calgary.
