Finance Manager – Ecommerce Agency

📋 Description

• Take ownership of the weekly P&L, ensuring that all income and expenses are accurately recorded and kept current.

• Conduct weekly reconciliations within Xero, aligning transactions and resolving discrepancies before they escalate.

• Timely prepare and dispatch client invoices, following up assertively and professionally until payment is secured.

• Create and send candidate invoices, collaborating with the Talent Acquisition team to guarantee billing precision.

• Oversee payment follow-ups for all outstanding invoices — ensuring nothing slips through the cracks.

• Monitor and manage financial inboxes, triaging emails and responding or escalating issues with urgency and accuracy.

• Track all incoming and outgoing payments, promptly flagging any anomalies to leadership.

• Maintain organized and accurate records in Xero and any auxiliary tools (Airtable / ClickUp / Notion).

• Collaborate with the Customer Success and Talent Acquisition teams to align billing with active placements and contracts.

• Generate weekly financial snapshots and summary reports for internal assessment.

• Proactively identify cash flow risks, overdue accounts, and irregularities — do not wait to be prompted.

• Excellent written and verbal English — professional communication across all platforms.

• Demonstrated experience with Xero (a must).

• Meticulous attention to detail — numbers must always align.

• Experience in managing invoicing workflows, accounts receivable, and financial reconciliations.

• Ability to handle multiple financial tasks and deadlines concurrently without sacrificing accuracy.

• Highly organized with effective inbox and task management practices.

• Discreet and reliable when dealing with sensitive financial information.

• Comfortable working remotely in a dynamic, lean team environment.

• Available during European business hours (CET).

• A background in finance, accounting, bookkeeping, or a related discipline is a significant advantage.
