This is a fully remote position, open to applicants in Minnesota.
• Identify and rank events. Conduct research, assess, and propose tradeshows, conferences, and industry gatherings that align with our Ideal Customer Profile (ICP) and revenue targets. Maintain a rolling 12-month event calendar.
• Negotiate and finalize contracts. Cultivate relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth spaces, speaking opportunities, and additional services to maximize budget efficiency.
• Plan and implement from start to finish. Oversee every detail, including booth design and logistics, promotional items, marketing materials, lead capture systems, badge scanners, audiovisual needs, catering, hotel arrangements, and travel logistics for the team.
• Serve as the on-site representative. Attend each event in person. Set up and dismantle booths, resolve issues in real-time, and ensure our presence is polished from beginning to end.
• Prepare the team. Brief attendees on objectives, key messages, target accounts, and logistical details. Ensure everyone is informed about their responsibilities and schedules.
• Collaborate with sales to drive pipeline. Partner with sales to schedule pre-show meetings, host dinners and customer events on-site, and ensure every lead is captured, qualified, and followed up promptly.
• Execute pre- and post-event campaigns. Collaborate with marketing on email outreach, landing pages, paid promotions, and social media to drive booth traffic and meeting bookings prior to the event.
• Manage the budget. Oversee event spending across the entire calendar. Track expenses, accurately forecast, identify risks early, and make informed trade-off decisions as priorities change.
• Establish KPIs and report on outcomes. Define specific KPIs for each event (leads, meetings, pipeline, ROI) and generate clear post-event reports that illustrate successes, areas for improvement, and actionable insights for future events.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or tech environments.
• Proven experience in managing events from inception to completion, even on a smaller scale. You can reference events you organized and their outcomes.
• Proficient in managing an events budget. You understand how to forecast, monitor expenditures, and make trade-offs to optimize ROI.
• Comfortable defining KPIs and producing reports that link event activities to pipeline and revenue.
• Passionate about AI and leveraging it to enhance productivity. You can provide examples of specific projects, tools, or workflows where you've utilized AI to streamline or improve your work as an events marketer (research, vendor communication, post-event reporting, content creation, lead enrichment, etc.). This is essential, not optional.
• Basic familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You effectively manage timelines, budgets, vendors, and numerous moving parts without oversight.
• Skilled in negotiating with vendors and event organizers to secure optimal terms.
• Excellent communicator, both written and verbal. You can motivate a team, brief senior executives, and engage prospects on the show floor with equal proficiency.
• Composed under pressure. You can effectively troubleshoot unexpected issues that arise during events.
• Willing and able to travel 30 to 50% during peak event seasons across North America, with potential for European travel as we grow.
