This is a fully remote position, open to applicants in United States.
• Identify and prioritize events by researching, assessing, and recommending tradeshows, conferences, and industry gatherings that align with our ideal customer profile and revenue objectives. Maintain a rolling 12-month event calendar.
• Negotiate contracts and manage relationships with event organizers, vendors, and venues. Secure sponsorships, booth space, speaking opportunities, and additional services to maximize our budget.
• Plan and implement all aspects of events. Oversee every detail, including booth design and shipping, promotional items, marketing materials, lead capture systems, badge scanners, audiovisual requirements, catering, hotel accommodations, and travel logistics for the team.
• Serve as the on-site liaison. Attend every event in person to set up and dismantle booths, resolve issues in real-time, and ensure our presence is professional and engaging from start to finish.
• Prepare the team. Provide attending team members with briefings on objectives, key messages, target accounts, and logistical details. Ensure everyone understands their roles and schedules.
• Collaborate with sales to enhance pipeline opportunities. Coordinate pre-show meetings, organize dinners and customer events on-site, and guarantee that every lead is captured, qualified, and followed up promptly.
• Execute pre- and post-event marketing campaigns. Partner with marketing to develop email outreach, landing pages, paid promotions, and social media strategies to boost booth traffic and meeting bookings ahead of the event.
• Manage the event budget. Oversee expenditures across the entire event calendar. Monitor costs, provide accurate forecasts, identify potential risks early, and make informed trade-offs as priorities shift.
• Establish key performance indicators (KPIs) and analyze results. Define clear KPIs for each event (such as leads, meetings, pipeline, and ROI) and create comprehensive post-event reports that highlight successes, areas for improvement, and strategies for future events.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in a B2B or technology context.
• Proven experience in organizing events from start to finish, even on a smaller scale. You can provide examples of events you've managed and their outcomes.
• Proficient in managing an events budget. You understand how to forecast expenses, monitor spending, and make strategic decisions to optimize ROI.
• Comfortable setting KPIs and generating reports that link event activities to pipeline growth and revenue generation.
• Passionate about AI and leveraging it to enhance efficiency. You can present specific projects, tools, or workflows where you've utilized AI to automate or enhance your role as an events marketer (such as research, vendor communication, post-event analysis, content creation, lead enrichment, etc.). This is essential.
• Basic familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You excel at managing timelines, budgets, vendors, and numerous moving parts without losing focus.
• Skilled in negotiating with vendors and event organizers to secure advantageous terms.
• Exceptional communication skills, both written and verbal. You can effectively rally a team, brief executives, and engage prospects on the show floor with equal proficiency.
• Composed under pressure. Event challenges arise, and you can think on your feet to resolve them.
• Willingness and availability to travel 30 to 50% during peak event seasons across North America, with potential travel to Europe as we grow.
