This is a fully remote position, open to applicants in Texas.

📋 Description

• Identify and prioritize events. Conduct research, assess, and suggest tradeshows, conferences, and industry events that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a dynamic 12-month event calendar.

• Negotiate and formalize contracts. Cultivate relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth spaces, speaking opportunities, and additional options to maximize budget efficiency.

• Plan and oversee all aspects. Take charge of every detail, including booth design and logistics, promotional materials, collateral, lead capture, badge scanners, audiovisual needs, catering, hotel arrangements, and travel logistics for the team.

• Serve as the on-site representative. Attend each event in person. Set up and dismantle booths, resolve issues in real-time, and ensure our presence is polished from beginning to end.

• Prepare the team. Brief team members attending on objectives, key messages, target accounts, and logistical details. Ensure everyone is informed about where to be, when, and their responsibilities.

• Generate pipeline with sales. Collaborate with sales to arrange pre-show meetings, host dinners and customer events on-site, and guarantee that every lead is captured, qualified, and followed up on promptly.

• Execute pre- and post-event marketing campaigns. Partner with marketing to coordinate email outreach, landing pages, paid promotions, and social media efforts to enhance booth traffic and meeting bookings prior to the event.

• Manage the budget. Oversee event expenditures throughout the calendar. Monitor costs, provide accurate forecasts, identify risks early, and make informed trade-off decisions when priorities change.

• Establish KPIs and report outcomes. Define clear KPIs for each event (leads, meetings, pipeline, ROI) and create concise post-event reports detailing successes, areas for improvement, and strategies for future enhancements.


⛳️ Requirements

• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.

• Proven experience in organizing events from start to finish, even at smaller scales. You can reference specific events you managed and their outcomes.

• Experience in managing an events budget. You are adept at forecasting, tracking expenses, and making strategic trade-offs to optimize ROI.

• Proficient in defining KPIs and creating reports that link event activities to pipeline and revenue generation.

• Passionate about AI and its application for increased efficiency. You can provide examples of specific projects, tools, or workflows where you've utilized AI to streamline or enhance your work as an events marketer (e.g., research, vendor outreach, post-event reporting, content creation, lead enrichment, etc.). This is essential.

• Basic familiarity with HubSpot is required for CRM purposes; we will handle the rest.

• Strong project management skills. You effectively manage timelines, budgets, vendors, and numerous moving parts without oversight.

• Comfortable negotiating with vendors and event organizers to secure favorable terms.

• Excellent communication skills, both written and verbal. You can effectively motivate a team, brief executives, and engage with prospects on the event floor with ease.

• Composed under pressure. You can troubleshoot issues that arise during events efficiently.

• Willing and able to travel 30 to 50% during peak event seasons across North America, with potential for travel to Europe as our operations expand.
