This is a fully remote position, open to applicants in Philippines.
• Organize and maintain documents, files, and spreadsheets to track outreach contacts and follow-up activities.
• Data Entry: create lead lists or meeting minutes, transcribe audio recordings, prepare payroll information, and arrange research notes.
• Conduct research and compile a spreadsheet of referral sources for the personal injury practice, including doctors' offices, chiropractors, and medical-related businesses across the United States.
• Manage, update, and collect data for marketing and sales campaigns utilizing a contract tracking spreadsheet.
• Perform research, develop contact lists, manage basic outreach, filter phone calls, and handle administrative tasks.
• Collect data on trends and publicly available information, monitor relevant online platforms and Q&A communities (e.g., Reddit) for LSAT-related queries, and highlight or share links to pertinent threads.
• Oversee projects, facilitate internal communications, and organize company data, including liaising with business card vendors, setting up Facebook business accounts, and addressing similar startup logistics.
• Coordinate team calendars to avoid scheduling conflicts and ensure clients are punctual and prepared for meetings.
• Set up the phone system (RingCentral).
• Provide information to incoming calls and make calls for appointments or to conduct informational inquiries.
• Respond to emails, follow up on correspondence, organize the inbox according to client preferences, and inform clients about significant emails.
• Perform ad hoc tasks.
• A minimum of 5 years of experience as a Virtual Assistant.
• Must be at least 18 years old and have completed Senior High School.
• Exceptional communication skills via phone, email, and instant messaging (tone should be casual and warm, consistent with US professional culture).
• Strong organizational and time management abilities.
• Availability to work during the graveyard shift.
• Tech-savvy and knowledgeable about current technologies, such as desktop sharing, cloud services, and VoIP (RingCentral).
• Proficient with word-processing software and spreadsheets (e.g., MS Office).
• Familiar with online calendars and scheduling tools (e.g., Google Calendar).
• The ideal candidate will have a specific background in legal or sales fields.
