This is a fully remote position, open to applicants in United States.
• Identify and prioritize events. Conduct research, assess, and suggest tradeshows, conferences, and industry gatherings that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a dynamic 12-month event calendar.
• Negotiate and finalize contracts. Cultivate relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth placements, speaking opportunities, and additional services to maximize budget efficiency.
• Plan and execute from start to finish. Oversee all aspects, including booth design and logistics, promotional items, marketing materials, lead collection, badge scanning, audiovisual needs, catering, hotel arrangements, and travel logistics for the team.
• Serve as the on-site liaison. Attend all events in person. Set up and dismantle booths, troubleshoot issues in real-time, and ensure our presence is polished from beginning to end.
• Prepare the team. Brief team members attending on goals, key messages, target accounts, and logistical details. Ensure everyone knows their schedule and responsibilities.
• Collaborate with sales to generate leads. Partner with the sales team to arrange pre-event meetings, host dinners and customer events on-site, and guarantee that all leads are captured, qualified, and promptly followed up on.
• Execute pre- and post-event marketing campaigns. Collaborate with marketing on email outreach, landing pages, paid advertisements, and social media to drive booth traffic and secure meeting bookings ahead of the event.
• Manage the budget. Oversee event expenditures throughout the year. Monitor costs, accurately forecast, flag potential risks early, and make informed trade-off decisions when priorities shift.
• Establish KPIs and report on outcomes. Set specific KPIs for each event (leads, meetings, pipeline, ROI) and create comprehensive post-event reports that evaluate successes, areas for improvement, and strategies for future enhancements.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.
• Proven experience in organizing events from conception to completion, even on a smaller scale. You can provide examples of events you managed and their outcomes.
• Experience in managing an events budget. You are adept at forecasting, tracking expenditures, and making trade-offs to optimize ROI.
• Proficient in defining KPIs and generating reports that link event activities to pipeline and revenue.
• Passionate about AI and leveraging it for enhanced productivity. You can demonstrate specific projects, tools, or workflows where you have utilized AI to streamline or enhance your work as an events marketer (e.g., research, vendor outreach, post-event analysis, content creation, lead enrichment, etc.). This is essential.
• Familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You keep track of timelines, budgets, vendors, and numerous moving parts without missing a beat.
• Comfortable negotiating with vendors and event organizers to secure optimal terms.
• Exceptional communication skills, both written and verbal. You can motivate a team, brief executives, and engage prospects on the show floor with equal proficiency.
• Composed under pressure. Events can present challenges; you can troubleshoot effectively on the spot.
• Willing and able to travel 30 to 50% during peak event seasons across North America, with potential for European travel as we grow.
