• Engage with warm leads through phone calls, text messages, emails, and CRM interactions.
• Maintain a consistent follow-up schedule until leads are converted or finalized.
• Dispatch templated emails, event details, quotes, videos, and images.
• Arrange discovery calls, consultations, and site visits.
• Foster friendly, natural, and relationship-oriented communication.
• Oversee inboxes and calendar management.
• Confirm appointments and send reminders.
• Manage Certificates of Insurance (COIs) and necessary venue documentation.
• Ensure venues receive all necessary paperwork prior to events.
• Accurately update CRM notes, tasks, and lead statuses.
• Develop and refine templates, checklists, and repeatable workflows.
• Collaborate with vendors and production teams for seamless transitions.
• Monitor lead pipeline activities and follow-up metrics.
• Provide end-of-day summaries and weekly reports.
• Proactively identify and flag risks, blockers, or missed follow-ups.
• Minimum of 3 years of experience in Executive Assistance.
• At least 3 years of experience in Administrative Support.
• A minimum of 3 years of experience in Customer Service.
• 3+ years of experience in Sales Support.
• Over 3 years of experience in Event Coordination.
• Proficient in spoken and written English.
• Possess an extremely natural conversational communication style.
• Demonstrate strong follow-through and organizational skills.
• Comfortable making warm outbound calls.
• Experience with CRM systems.
• Proficient in Google Workspace.
• Strong task management skills and attention to detail.
• Ability to work independently and take proactive initiatives.
• Quick to learn new systems and tools.
