This is a fully remote position, open to applicants in United States.
• Oversee executive email correspondence, manage inbox organization, calendars, meetings, appointments, and daily priorities.
• Monitor action items, priorities, follow-ups, deadlines, and recurring administrative duties.
• Draft business documents, reports, correspondence, and operational files.
• Arrange digital files, business records, administrative documents, and cloud-stored materials.
• Develop and maintain operational trackers and reporting tools.
• Coordinate requests for equipment maintenance, vendor scheduling, service calls, and resolutions.
• Document workflows and establish and sustain Standard Operating Procedures (SOPs).
• Recognize opportunities to enhance administrative efficiency and business processes.
• Facilitate routine communications with vendors, suppliers, contractors, and internal team members.
• Address inquiries, follow up on pending requests, and manage scheduling.
• Assist with project coordination, operational initiatives, business documentation, and executive priorities.
• Potentially broaden responsibilities to include sales and marketing administration, financial administration, multi-location coordination, and special projects.
• Prior experience as an Executive Assistant, Administrative Assistant, Operations Assistant, or Virtual Assistant.
• Exceptional written and verbal communication skills in English.
• Strong organizational and time management skills.
• High level of attention to detail and accuracy.
• Capacity to manage multiple priorities at once.
• Excellent problem-solving and critical thinking abilities.
• Capability to work independently with minimal supervision.
• Professional, dependable, and highly organized.
• Comfortable in a fast-paced and growing business environment.
• Required: Proficiency in Google Workspace.
• Required: Proficiency in Microsoft Office.
• Required: Experience with Google Calendar or Outlook Calendar.
• Required: Skills in email management.
• Required: Experience in spreadsheet management using Google Sheets or Excel.
• Required: File organization and cloud storage experience such as Google Drive.
• Strong advantage: Familiarity with project management platforms like ClickUp, Asana, Trello, or Monday.com.
• Strong advantage: Experience with SOP documentation.
• Strong advantage: Knowledge of CRM software.
• Strong advantage: Experience with restaurant or hospitality management systems.
• Strong advantage: Proficiency in Canva.
• Strong advantage: Familiarity with DocuSign.
• Strong advantage: Knowledge of AI productivity tools such as ChatGPT.
• Nice-to-have: Experience in the hospitality or restaurant industry.
• Nice-to-have: Experience coordinating with vendors and contractors.
• Nice-to-have: Project coordination or operations support experience.
• Nice-to-have: Skills in process improvement and workflow documentation.
• Nice-to-have: Basic understanding of bookkeeping or financial administration.

• Availability to work from 8:00am–12:00pm Eastern Time, Monday–Friday.
• Transition to full-time (50,000) based on performance after 3 months.
