This is a fully remote position, open to applicants in Colombia.
• Cross-Functional Project Leadership: Oversee and coordinate strategic initiatives that involve multiple departments concurrently: Marketing, Tech, Sales, Operations, Finance, and Delivery.
• Take responsibility for project timelines, milestones, and delivery accountability from initiation through to completion.
• Ensure comprehensive project visibility throughout the organization by utilizing structured dashboards, status reports, and executive updates.
• Conduct project kick-off meetings, weekly stand-ups, retrospectives, and milestone reviews with department heads.
• Anticipate blockers, risks, and dependencies before they escalate into issues.
• Act as the primary communication link between leadership and delivery teams regarding project updates.
• Generate executive-ready status reports, project scorecards, and cross-departmental summaries on a weekly and monthly basis.
• Collaborate with the VP of Operations and C-level executives to prioritize the project portfolio in alignment with company OKRs and capacity.
• Convert strategic decisions into actionable project plans that include clear ownership, timelines, and success criteria.
• Design, document, and standardize project management workflows, SOPs, and templates across the organization.
• Review existing processes across departments and identify opportunities for enhanced operational efficiency.
• Develop and maintain a centralized project portfolio view that provides leadership with real-time insights into all active initiatives.
• Advocate for the adoption of project management tools and methodologies throughout departments.
• Collaborate with department managers to assess resource needs, identify capacity constraints, and resolve scheduling conflicts between teams.
• Ensure that project scope, timelines, and resource allocations are practical and aligned prior to project launches.
• Monitor project health across the portfolio and escalate any issues related to bandwidth, budget, or scope as they arise.
• A minimum of 5 years of experience in project management, including at least 2 years in a company-wide or cross-department PM role at a marketing agency or high-growth service firm.
• A demonstrated history of delivering complex, multi-department projects on schedule and within scope.
• High proficiency in at least one project management platform: ClickUp (preferred), Asana, Monday.com, or Jira.
• Proven expertise in at least two project management methodologies: Agile/Scrum, Kanban, OKR-driven PM, RACI, Waterfall/Hybrid, or Critical Path Method.
• Proficient in English at the C1+ level: able to communicate effectively in writing and speaking for executive interactions and cross-functional coordination with US-based leadership.
• Ability to produce executive-ready documentation, reports, and project updates with minimal rework required.
• Strong organizational abilities and the capacity to manage multiple simultaneous initiatives, timelines, and stakeholders.
• Comfortable facilitating meetings with C-level executives, department leaders, and delivery teams.
