This is a fully remote position, open to applicants in California.
• Take charge of and oversee essential operational workflows spanning legal, finance, and leadership operations.
• Lead cross-functional projects from start to finish, coordinating with stakeholders to ensure timely execution.
• Supervise the preparation and management of contracts, NDAs, and other operational documents.
• Perform swift research on vendors, markets, and operational solutions, providing clear recommendations and insights ready for decision-making.
• Proactively recognize operational deficiencies and implement enhancements before they act as obstacles.
• Take ownership of and continuously enhance the employee onboarding experience and internal people operations processes.
• Coordinate and optimize the recruitment pipeline to ensure a seamless experience for candidates and hiring managers.
• Assist with workforce operations, including compliance, documentation, and maintenance of HR systems.
• Plan and manage logistics for business travel and internal events.
• Contribute to the development of scalable internal culture and operational practices.
• Manage essential operational finance workflows such as invoicing, payment tracking, and financial documentation oversight.
• Maintain organized and audit-ready financial records and operational documentation.
• Collaborate with external partners (CPA, legal, vendors) to ensure timely compliance and operational accuracy.
• Enhance internal financial processes and reporting wherever possible.
• Identify operational inefficiencies throughout the organization and design scalable systems to eliminate manual tasks.
• Create and sustain automation workflows using AI and no-code tools.
• Develop and maintain operational playbooks and documentation to facilitate repeatable and scalable processes.
• Serve as an internal advocate for operational excellence, automation, and productivity enhancements.
• Minimum of 3 years in operations, client services, or project/program management (at least 2 years in tech, preferably in a high-growth or startup environment).
• Demonstrated experience managing complex projects from inception to completion independently.
• Proven record of automating processes using AI tools (LLMs, Zapier, Make, n8n, custom scripts, etc.).
• Proficient in Google Workspace, Notion, Slack, Jira, and Figma; comfortable with recording Loom sessions.
• Familiarity with HR/recruitment tools (Ashby, Deel, Checkr).
• Ability to operate at a rapid pace – tasks are completed within hours of assignment.
• Not content with mediocrity – you prioritize speed while striving for excellence.
• Exceptional attention to detail; proven ability to structure and execute tasks flawlessly.

• Strong command of English (C1+).
