This is a fully remote position, open to applicants in United States.
• Collaborate closely with the VP of Engineering to enhance productivity and safeguard executive time.
• Oversee calendars, manage incoming and outgoing requests, and resolve scheduling conflicts.
• Comprehend executive priorities and organizational objectives to pinpoint opportunities and risks.
• Anticipate the needs of executives and proactively address issues.
• Serve as a reliable extension of executives, exercising sound judgment and discretion.
• Take charge of intricate calendar management across various time zones.
• Organize meetings, agendas, briefing materials, attendee coordination, and follow-up actions.
• Facilitate regular department meetings, planning sessions, offsite gatherings, team events, and company functions.
• Monitor commitments, decisions, action items, and cross-functional dependencies.
• Create presentations, executive communications, spreadsheets, reports, and briefing documents.
• Prepare executives for board meetings, customer interactions, leadership presentations, conferences, and speaking engagements.
• Collaborate with the Chief of Staff to the CTO.
• Partner with leaders across Engineering, Product, Design, People, Finance, Legal, Marketing, IT, and Operations.
• Coordinate activities with other Executive Assistants.
• Assist with headcount planning, departmental budgets, and the performance review process.
• Enhance administrative and operational procedures and establish repeatable systems.
• Arrange complex domestic and international travel, including itineraries, accommodations, visas, transportation, and contingency planning.
• Oversee executive expense reporting.
• Utilize AI-driven and modern productivity tools to simplify administrative tasks and automate repetitive work.
• Suggest and implement processes that foster collaboration across the department.
• Extensive experience supporting VP- or C-level executives within a dynamic technology company.
• Background in supporting Engineering, Product, Design, or other highly technical sectors.
• Proficiency with Google Suite, Notion, Slack, Zoom, and Jira.
• Proven ability to work independently with minimal guidance in fast-paced environments.
• Exceptional organizational and project management capabilities.
• Capacity to juggle multiple competing priorities simultaneously.
• Excellent written and verbal communication skills.
• Strong business acumen and the ability to discern when to escalate issues.
• Documented track record of anticipating executive needs and proactively addressing obstacles.
• Keen attention to detail while maintaining a broader business perspective.
• Experience in coordinating complex cross-functional projects with senior stakeholders.
• High emotional intelligence and the ability to build trusted relationships across all organizational levels.
• Comfort in navigating uncertainty and adapting swiftly as priorities shift.
