This is a fully remote position, open to applicants in Canada, +1 more state.
• Collaborate with the VP of Engineering to enhance productivity and safeguard executive time.
• Oversee calendars, manage incoming and outgoing requests, and resolve scheduling conflicts across various time zones.
• Comprehend executive priorities and organizational objectives to pinpoint opportunities and potential risks.
• Proactively anticipate executive needs and independently address challenges.
• Organize meeting preparations, create agendas, develop briefing documents, coordinate attendees, and manage follow-ups.
• Facilitate recurring departmental meetings, planning sessions, offsite gatherings, team events, and company functions.
• Monitor commitments, decisions, action items, and interdepartmental dependencies.
• Develop presentations, executive communications, spreadsheets, reports, and briefing materials.
• Equip executives for board meetings, customer discussions, leadership presentations, conferences, and speaking events.
• Coordinate efforts with the Chief of Staff to the CTO.
• Collaborate with leaders across Engineering, Product, Design, People, Finance, Legal, Marketing, IT, and Operations.
• Manage headcount planning, departmental budgets, and performance evaluation processes.
• Enhance administrative and operational workflows and create repeatable systems.
• Oversee domestic and international travel arrangements, including itineraries, lodging, visas, transportation, and contingency planning.
• Administer executive expense reporting.
• Utilize AI-driven and contemporary productivity tools to optimize administrative tasks.
• Propose and implement processes that enhance departmental collaboration.
• Extensive experience supporting VP- or C-level executives in a dynamic technology environment.
• Background in supporting Engineering, Product, Design, or other technical sectors.
• Proficiency in Google Suite, Notion, Slack, Zoom, and Jira.
• Proven ability to function independently with little guidance in fast-paced settings.
• Exceptional organizational and project management capabilities.
• Excellent written and verbal communication skills.
• Strong business acumen with the ability to discern when to escalate issues.
• Capacity to foresee executive needs and proactively eliminate barriers.
• Keen attention to detail while maintaining an overarching business perspective.
• Experience in coordinating intricate cross-functional projects with senior stakeholders.
• High emotional intelligence and the ability to cultivate trusted relationships across all levels of the organization.
• Comfort in navigating uncertainty and adapting swiftly as priorities shift.
