Executive Assistant – US Sales Team

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Email Management: Effectively oversee and prioritize the executive's email communication, ensuring prompt responses and suitable follow-ups.

• Phone Calls: Manage both incoming and outgoing calls as necessary.

• Calendar Management: Organize and maintain intricate calendars, schedule appointments, and coordinate meetings with both internal and external parties. (Calendly is part of the process)

• Bookkeeping: Offer light bookkeeping assistance, including tracking expenses, processing invoices, and organizing financial documentation.

• Marketing Support: Use Canva to create professional and visually appealing presentations, marketing materials, and other collateral as required. This may encompass graphics such as thank-you notes, birthday cards, etc.

• Social Media: Manage a social media calendar to ensure timely posting across appropriate platforms.

• Travel Coordination: Plan and organize travel arrangements, accommodations, and itineraries for business-related trips.

• Document Preparation: Compose and edit correspondence, reports, and other documents on behalf of the executive team.

• Meeting Coordination: Develop meeting agendas, attend meetings as needed, and compile meeting minutes. Ensure effective communication and collaboration within the team.

• Project Management: Aid in managing special projects, ensuring they are completed accurately and on schedule.


⛳️ Requirements

• Demonstrated experience as an Executive Assistant, supporting high-level executives in the mortgage or financial sector.

• Outstanding organizational and multitasking skills.

• Proficient in all types of social media.

• Keen attention to detail and a proactive approach to addressing challenges.

• Capability to juggle multiple tasks in a dynamic environment.

• Excellent written and verbal communication abilities.

• Proficient in Microsoft Office Suite and other relevant software.

• Familiarity with Shape CRM is an advantage.

• Proficiency in Canva for creating marketing flyers is a plus.
