• Calendar & priorities: safeguard the CEO’s schedule, design the “Perfect Week,” send impeccable invitations, create buffers, prepare meeting briefs and minutes, and manage day-of preparations.
• Operations & projects: monitor OKRs, align teams (with limited involvement as an OPS hire is in progress), provide weekly progress reports, and address any obstacles.
• Executive communication: prioritize and respond to emails/inbox, draft messages on behalf of the CEO when necessary, and coordinate essential communications.
• Meetings & events: organize agendas, action notes, post-meeting follow-ups, and arrange founders’ dinners.
• Travel & logistics: oversee comprehensive travel files (flights, hotels, transfers), keep calendars updated, and prepare contingency plans for any disruptions. (can be delegated)
• Personal brand: manage content coordination (podcasts, interviews, videos), oversee podcast relationships, and gather raw footage.
• Purchases & administration: handle ad-hoc purchases, collaborate with the house manager, and manage receipts, labeling, and archiving. (can be delegated)
• Reporting: provide weekly admin reports, suspense lists, risk/alert tracking, and proposals to enhance processes. -> important
• 3–7 years of experience in executive assistant, operations, or project management roles supporting executives or founders.
• Bilingual in French and English with exceptional writing skills and rapid summarization abilities.
• Proficient in ClickUp or Asana/Notion, Google Workspace, and managing complex multi-timezone calendars.
• Strong attention to detail, reliability, a commitment to confidentiality, and business-first prioritization instincts.
• Located in the CET±2 or Dubai time zone; available during peak periods and for occasional travel.
• Nice to have: experience in e-commerce/DTC, influencer/creator operations, podcast management, and basic finance knowledge (receipts, wire transfers, POs).
• Direct exposure to the founder and participation in key decisions.
