This is a fully remote position, open to applicants in South Africa.
• Oversee and enhance the CEO’s calendar, priorities, and daily agenda.
• Safeguard executive time by prioritizing requests, redirecting interruptions, and ensuring focus on high-impact activities.
• Manage inboxes, communication, and follow-up tasks.
• Organize meetings, agendas, action items, and executive communications.
• Monitor open tasks, projects, and commitments to ensure completion and accountability.
• Generate reports, summaries, dashboards, meeting notes, and follow-up trackers.
• Assist with project coordination, operational initiatives, and executive priorities.
• Anticipate challenges, identify risks, and proactively address issues before they escalate.
• Maintain precise records, documentation, and executive reporting materials.
• Provide support with administrative, operational, HR, payroll, and business support tasks as needed.
• Aid executive decision-making through research, organization, and information management.
• Develop systems and processes that enhance efficiency and establish structure in a fast-paced environment.
• Bachelor’s degree (BA/BS) is highly preferred.
• Prior experience as an Executive Assistant is required.
• Experience supporting a CEO, Founder, Owner, Managing Director, or other senior executive is necessary.
• Proven experience in a fast-paced environment is essential.
• Strong skills in calendar management, inbox management, meeting coordination, and executive support are required.
• Demonstrated capability to manage upwards and proactively support executive priorities is necessary.
• Strong ownership mentality with outstanding follow-through is required.
• Ability to safeguard executive time and respectfully push back when necessary is essential.
• Excellent written and verbal communication skills are required.
• High emotional intelligence and professional judgment are necessary.
• Strong organizational and prioritization skills are essential.
• Exceptional attention to detail is required.
• Ability to create structure in ambiguous situations and effectively manage competing priorities is necessary.
• Strong problem-solving and decision-making capabilities are required.
• Experience with reporting, data management, project coordination, and business administration is preferred.
• Experience supporting founders, CEOs, or entrepreneurs is preferred.
• Experience in startups, small businesses, or high-growth environments is preferred.
• Experience in operations, reporting, payroll, HR administration, or business support is preferred.
• Familiarity with AI tools such as ChatGPT, Claude, Gemini, or Copilot is preferred.
• Experience working with remote-first teams is preferred.
• Reliable internet connection and an appropriate home office setup are necessary.
• Comfortable working U.S. hours.
• Remote work from home.
