
Executive Assistant – Talent Coordination

This is a fully remote position, open to applicants in Philippines.
• Identify and navigate candidates through the recruitment pipeline across various job boards, handling hundreds of applications each week.
• Evaluate incoming applications on the same day or the following day across all active platforms.
• Assess candidates and advance qualified applicants without waiting for instructions.
• Consistently achieve a goal of four qualified hires within each two-week training cycle.
• Arrange all interview rounds with adequate notice to guarantee a seamless candidate experience.
• Dispatch calendar invitations at least 24 hours prior to all interview stages.
• Coordinate the availability of candidates and interviewers to avoid any friction.
• Enhance, publish, and revise job descriptions based on performance metrics and team input.
• Oversee active job postings on Indeed and other pertinent job boards.
• Maintain an organized, up-to-date, and active candidate pipeline at all times.
• Ensure that new hires are fully equipped with all necessary tools and systems before their first day.
• Complete the onboarding training personally, then assist in delivering training sessions and creating materials.
• Identify setup gaps or obstacles early to ensure a smooth onboarding process on the first day.
• A minimum of 2 years in roles such as executive assistant, chief of staff, operations coordinator, or a highly responsible administrative position.
• Demonstrated capability to manage multiple intricate workflows concurrently with limited supervision.
• Strong organizational systems and a proven history of following through independently.
• Excellent written communication skills in clear and concise English.
• Ability to quickly learn new tools, platforms, and processes.
• An ownership mindset: proactively identify issues with suggested solutions, rather than merely flagging problems.
• Availability to work during U.S. business hours.
• Compensation will be in **USD** (bi-monthly: on the 15th and 30th).
