This is a fully remote position, open to applicants in Philippines.

📋 Description

• Coordinating internal meetings

• Arranging external calls (with customers, candidates, and vendors)

• Managing rescheduling conflicts

• Sending calendar holds

• Reviewing calendar meetings to ensure all attendees have RSVP’d, no scheduling conflicts exist, and all necessary information, such as Zoom links, is included.

• Organizing and categorizing emails

• Highlighting priority emails

• Drafting email responses for your approval

• Following up on emails that haven't received a response

• Opting out of junk subscriptions

• Arranging flights

• Reserving hotels

• Making restaurant bookings

• Managing any changes or cancellations

• Developing meeting agendas

• Taking notes or refining existing notes

• Tracking action items

• Sending follow-up communications post-meetings

• Updating project management trackers

• Scheduling interviews

• Communicating with candidates

• Sending rejection notices or next-step emails

• Coordinating take-home assignments

• Processing expense uploads

• Organizing receipts

• Maintaining vendor lists

• Organizing contracts

• Updating Notion and other internal documentation

• Formatting documents and presentations

• Creating templates

• Maintaining onboarding checklists

• Organizing shared drives

• Sending internal reminders via Slack and other platforms

• Conducting venue research

• Booking event spaces

• Coordinating catering services

• Managing attendee lists

• Sending calendar invitations

• Creating run-of-show documents


⛳️ Requirements

• Bachelor’s degree

• Minimum of 5 years of experience as an Executive Assistant in a software company with an international focus

• Exceptional English communication skills, both written and verbal (minimum B2 level)

• Strong communication abilities via phone, email, and instant messaging

• Excellent organizational and time management skills

• Availability to work during graveyard shifts

• Tech-savvy and knowledgeable about current technologies, including desktop sharing, cloud services, and VoIP

• Proficient in word-processing software and spreadsheets (e.g., MS Office)

• Familiarity with online calendars and scheduling tools (e.g., Google Calendar)

• Proactive mindset and eagerness to receive training
