This is a fully remote position, open to applicants in Australia.
• Deliver direct administrative and operational assistance to the client across various businesses and projects.
• Oversee ongoing solar and battery initiatives in Australia, ensuring that timelines, deliverables, and communications remain aligned.
• Follow up on tasks, emails, and action items to guarantee nothing is overlooked or postponed.
• Monitor payments, invoices, and receipts, ensuring precise documentation and timely updates.
• Manage calendars, meetings, and scheduling across various time zones (from China to the US East Coast).
• Organize travel arrangements, including flights, accommodations, and itineraries.
• Serve as a point of contact on behalf of the client when liaising with business partners and government officials.
• Assist in prioritizing tasks and managing daily workflows to enhance efficiency.
• Keep organized records, files, and trackers for all ongoing projects.
• Demonstrated experience as an Executive Assistant, Virtual Assistant, or Project Coordinator.
• Strong organizational and multitasking abilities with keen attention to detail.
• Capability to work independently and proactively with minimal supervision.
• Exceptional written and verbal communication skills.
• Experience in coordinating activities across multiple time zones.
• Confident in managing professional communications with external stakeholders, including executives and government representatives.
• Familiarity with project tracking tools, CRMs, and productivity platforms (e.g., Google Workspace, Trello, Asana, etc.).
• Financial tracking experience (invoices, receipts, basic reporting) is highly desirable.
• A background in renewable energy, construction, or technical projects is advantageous but not mandatory.
