This is a fully remote position, open to applicants in Philippines.
• Oversee a complex calendar across the time zones of Australia, the USA, and Europe
• Organize meetings, prepare run sheets, and make daily scheduling adjustments
• Monitor the inbox and compose professional correspondence
• Handle Xero bookkeeping for both personal and business accounts
• Keep track of expenses, invoices, and financial documents
• Assist with reconciliation and financial organization
• Arrange international travel, accommodations, and itineraries
• Manage adjustments across time zones and handle last-minute changes
• Communicate effectively with investors, partners, clients, and internal teams
• Ensure communication is clear, timely, and professional
• Support personal scheduling and coordination related to family matters
• Maintain awareness of recurring tasks and commitments
• Utilize AI and productivity tools to enhance workflow efficiency
• Develop and sustain simple systems to minimize recurring issues
• Anticipate needs and proactively address scheduling conflicts
• 5+ years of experience as a high-level Executive Assistant (EA)
• Strong background in Xero and financial administration
• Exceptional written English and professional communication abilities
• Demonstrated experience managing calendars across multiple time zones (AU/US/EU)
• Keen attention to detail and structured thinking
• Experience supporting senior executives or company founders
• Strong skills in Microsoft Office and various productivity tools
• Comfortable utilizing AI tools to boost efficiency
