This is a fully remote position, open to applicants in Mexico.
• Play a vital role in assisting the Executive during a crucial phase of operational expansion.
• Aid in data collection, report aggregation, project management, creation of Standard Operating Procedures (SOP), development of Customer Relationship Management (CRM) systems, and organization of systems within Notion.
• Support ongoing operational objectives, integrate into the executive's productivity frameworks, and assist in establishing sustainable processes that promote accountability, visibility, and progress monitoring across various projects.
• Create, organize, and maintain the Executive Assistant workspace in **Notion**, which includes task tracking and SOP documentation.
• Oversee daily task completion among direct reports and proactively identify and flag any delays or issues.
• Develop and uphold structured checklists outlining each team member’s responsibilities.
• Generate **daily/weekly summary reports** that highlight completion status and potential risks.
• Source candidates (primarily product developers based in the Philippines) through LinkedIn and other platforms.
• Manage outreach efforts, follow-up communications, and candidate interactions.
• Coordinate and schedule interviews, primarily during evening hours.
• Document SOPs for recurring workflows, including email management, hiring processes, and task tracking.
• 3–4+ years of experience as an Executive Assistant, Operations Assistant, or in a similar role.
• Demonstrated experience with **process documentation, system development, or SOP creation**.
• Strong abilities in **data collection, report generation, and project management**.
• Experience with **recruitment coordination and candidate sourcing**.
• Familiarity with tools such as Gmail, Notion, SuperHuman, Discord, Slack, LinkedIn, and various calendar systems.
• Experience supporting founders or agile teams is highly advantageous.
• Familiarity with **Notion** or similar knowledge management tools (must be eager to learn quickly).
• Knowledge of **Google Workspace**, particularly Sheets for reporting purposes.
• Excellent organizational and prioritization skills.
• Exceptional written and verbal communication abilities.
• Capability to work independently and take initiative.
• High comfort level in technology-driven environments and a willingness to learn new platforms.
• Experience in coordinating with cross-functional stakeholders.
• Ability to maintain confidentiality and manage sensitive information.
• **Technical Requirements**: Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
