This is a fully remote position, open to applicants in Brazil.
• Manage high-volume inboxes and prioritize essential communications.
• Compose and send replies in the founder’s unique voice and style.
• Sustain ongoing communication threads and ensure prompt follow-ups.
• Filter and escalate only those emails that are high-priority and require attention.
• Oversee the calendar with strategic prioritization and smart scheduling.
• Organize meetings across different time zones to enhance scheduling efficiency.
• Group meetings by geographic location and context when appropriate.
• Maintain a consistent daily check-in routine with the founder.
• Plan and coordinate comprehensive travel logistics, including flights, accommodations, and itineraries.
• Prepare meeting agendas ahead of time.
• Document meeting notes and monitor action items.
• Implement follow-ups, introductions, and resource sharing.
• Track priorities and highlight any misalignment in time allocation.
• Provide light operational support to external collaborators.
• Identify inefficiencies and recommend system enhancements.
• Minimum of 2 years of experience as an Executive Assistant or in a similar operational role.
• Exceptional written English communication skills with a natural, conversational tone.
• Strong organizational abilities and prioritization skills.
• Proven capability to work autonomously in unstructured environments.
• Proactive attitude with the ability to foresee needs and take initiative.
• Familiarity with AI tools and the capability to integrate them into workflows.
• High level of discretion and trustworthiness.
• Experience supporting a founder, investor, or solo operator (preferred).
• Background or interest in social impact, community work, or activism (preferred).
• Experience in startup or fast-paced environments (preferred).
• Familiarity with Superhuman, Replit, or Squarespace (preferred).
