Executive Assistant – Marketing Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee executive calendars, appointments, and travel arrangements.

• Evaluate and prioritize emails, calls, and various forms of correspondence.

• Collaborate with the Office Manager to create meeting agendas, notes, and follow-up actions.

• Assist in drafting internal and external communications.

• Aid the Managing Director in meeting both personal and professional deadlines.

• Coordinate with external service providers, including accountants and IT specialists.

• Assist with HR administrative tasks such as contracts and onboarding processes.

• Marketing and Brand Coordination.

• Help in developing and refreshing social media content on LinkedIn and Instagram.

• Contribute to the creation of engaging newsletters and website content.

• Maintain and update the client and referral database within the CRM.

• Support relationship management and business development efforts.

• Assist in coordinating events and sponsorships to boost brand visibility.

• Communicate with external vendors, including designers, photographers, and SEO consultants.

• Ensure brand consistency across all company materials and touchpoints.

• Monitor marketing budgets, invoices, and calendar deadlines.


⛳️ Requirements

• Demonstrated experience as an Executive Assistant or Personal Assistant.

• Advanced proficiency in Microsoft Office applications.

• Outstanding written and verbal communication abilities.

• Strong organizational skills with the capacity to manage competing priorities.

• A proactive and dedicated approach to delivering high-quality outcomes.

• Ability to cultivate strong professional relationships and integrate into a friendly team culture.

• Nice-to-Have Skills.

• A degree or diploma in Marketing.

• Previous experience in a law firm.

• Familiarity with Smokeball or similar legal practice management software.

• Knowledge of CRM systems and social media management for professional platforms.
