
Executive Assistant – Legal Operations

This is a fully remote position, open to applicants in Colombia.
• Oversee the Director’s schedule, which includes:
• Internal meetings
• Check-ins with attorneys
• Calls with vendors
• Performance evaluations
• Project timelines
• Manage daily tasks and ensure preparedness for meetings by organizing agendas, documents, and follow-up items
• Organize updates to Standard Operating Procedures (SOPs), training resources, and operational projects
• Maintain well-structured digital files, shared drives, and project management systems
• Create summaries of meetings, reports, and action item trackers
• Assist in monitoring:
• Metrics for case pipelines
• Performance of intake processes
• Key Performance Indicators (KPIs) for the department
• Support audits related to case files, intake calls, and compliance with workflow processes
• Facilitate communication between consulting clients and legal teams
• Aid in vendor coordination involving:
• Medical providers
• Investigators
• Experts
• External collaborators
• Draft professional emails, internal communications, announcements, and memos
• Enable communication among attorneys, paralegals, intake specialists, administrative personnel, and leadership teams
• Uphold strict confidentiality and professionalism in all forms of communication and documentation
• Track operational initiatives, including:
• Rollouts of SOPs
• Implementation of training
• Technology initiatives
• Plans for performance improvement
• Assist in developing training materials, checklists, and documentation
• Organize meetings, workshops, and training sessions
• Monitor deadlines and ensure operational tasks are executed punctually
• Maintain spreadsheets, dashboards, and trackers for operational performance
• Support administrative and reporting workflows utilizing cloud-based tools and project management platforms
• Contribute to enhancing organizational efficiency through technology and process optimization
• Prior experience supporting leadership within:
• Law firms
• Legal operations
• Environments of professional services
• Strong preference for personal injury (PI) experience
• Exceptional organizational and time management skills
• Proficient written and verbal communication skills in English
• Capability to manage multiple priorities in fast-paced settings
• High degree of discretion, emotional intelligence, and professionalism
• Strong problem-solving skills and proactive mindset
• Comfortable with cloud-based systems, spreadsheets, reporting tools, and operational platforms
• Ability to work autonomously in a remote setting
