This is a fully remote position, open to applicants in California.
• Assist executives, division heads, officers, managers, or department professionals with everyday tasks.
• Deliver exceptional administrative support while ensuring a professional and positive representation of the Firm.
• Serve as an extension of the Principal when interacting with clients and colleagues.
• Manage email, written, phone, and fax communications during the Principal's travels.
• Prepare documents such as reports, meeting minutes, correspondence, spreadsheets, and presentations.
• Organize schedules, appointments, itineraries, meetings, travel arrangements, conference calls, and expense reports.
• Coordinate and follow up diligently to maximize the Leader’s time efficiency.
• Prioritize and manage multiple tasks effectively under tight deadlines.
• Answer telephone calls, transfer them appropriately, and take accurate messages.
• Oversee correspondence and maintain both electronic and hard-copy filing systems.
• Read, sort, and distribute incoming mail efficiently.
• Direct client documentation to Managers when client deadlines are critical.
• Manage confidential and sensitive company and personal information with care.
• Review and revise client-related documentation as necessary.
• Uphold client and administrative filing processes.
• Enhance internal procedures and assist in developing Firm policies as needed.
• Support other projects and execute additional duties as assigned.
• High school diploma required.
• A minimum of 3 years of experience in administrative roles for individuals, groups, or departments.
• Strong grammatical skills and proficiency in proofreading.
• Experience in handling sensitive, complex, and confidential contacts.
• Advanced proficiency in Microsoft Word, Excel, Access, PowerPoint, Outlook, and online navigation and research.
• Valid driver’s license is necessary.
• Notary Public certification is preferred.
• Capability to manage confidential and sensitive company and personal information.
• Ability to complete tasks with minimal supervision.
• US work authorization with no current or future visa sponsorship requirements.
