This is a fully remote position, open to applicants in United States.
• Serve as a reliable partner and extension of the CFO and VP of Finance, delivering proactive, high-level assistance that enables them to concentrate on Mozilla's key financial and strategic objectives.
• Manage intricate, fast-paced calendars for both leaders: prioritize and arrange meetings, resolve conflicts, safeguard focus time, and align scheduling with Finance deliverables, Board cycles, and enterprise goals.
• Oversee the operational rhythm of the CFO's office: organize and lead Finance and leadership meetings, prepare agendas and materials, document decisions and action items, and ensure follow-through.
• Develop and enhance executive-level presentations, reports, briefing materials, and communications for leadership meetings, business reviews, and external stakeholders.
• Coordinate both domestic and international travel arrangements while handling expense reports.
• Act as a central point of contact between the executives, their teams, and internal and external partners, ensuring prompt and professional communication and follow-up.
• Assist with Audit committee, Investment Committee, and Board preparation, including logistics, materials, and minutes as required.
• Organize logistics for team offsites, work weeks, and events.
• Collaborate with fellow administrative colleagues on team communications, recognition initiatives, onboarding, and cross-team requirements.
• Manage highly confidential information—financial, transactional, and personnel—with the highest level of discretion.
• 7-10 years of executive administrative experience in supporting one or more senior executives in a technology company or multi-location setting (calendar, travel, expenses, meeting support).
• Demonstrated discretion and sound judgment when handling highly confidential and sensitive information, along with comfort in working closely with senior executives and Board members.
• Strong coordination and process management skills, with a tendency to anticipate needs and offer options and recommendations instead of waiting for direction.
• A self-starter who excels in a fast-paced environment, manages ambiguity and competing demands, and follows through with precision and attention to detail.
• Outstanding written and verbal communication abilities.
• Proficiency in Google Workspace.
• Familiarity with finance terminology or experience in supporting a Finance or executive team is advantageous.
