This is a fully remote position, open to applicants in Illinois.
• Oversee intricate executive calendars and scheduling requirements for both internal and external meetings.
• Organize and lead the preparation for Senior Leadership meetings, encompassing locations, travel, accommodations, catering, equipment, and supplies.
• Gather briefing documents and draft, prepare, and proofread executive letters, memos, reports, spreadsheets, charts, and presentations.
• Monitor follow-ups, commitments, and action items originating from leadership meetings.
• Aid in special projects, research, business operations support, and initiatives related to personnel or organizational development.
• Identify administrative and operational challenges and propose process enhancements, tools, templates, or automation solutions.
• Facilitate leadership operating rhythms through meeting coordination, material preparation, action tracking, and follow-up.
• Organize executive travel arrangements.
• Handle expense reports, requisitions, invoices, purchase orders, and new hire requirements.
• Foster collaborative relationships with internal and external stakeholders, customers, partners, and executive assistants.
• Coordinate department gatherings, leadership meetings, and events, including logistics management.
• Create professional PowerPoint presentations and materials suitable for executive audiences.
• Maintain department lists, organizational charts, and team resources.
• Serve as a liaison for the department when necessary.
• Bachelor’s degree and 5 years of experience in coordinating projects or supporting work at an executive level, or 9 years of such experience.
• Proven track record of maintaining confidentiality with private and sensitive information.
• Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
• Demonstrated interest or experience with AI tools, Copilot, automation, or workflow tools.
• Strong judgment and professionalism when interacting with executive leadership, customers, partners, and senior stakeholders.
• Excellent organizational and time management skills.
• Strong interpersonal abilities and capability to work effectively with individuals at all levels.
• Exceptional verbal and written communication skills.
• Capacity to take initiative and work independently with minimal supervision.
• Proactive approach to process improvement.
• Ability to manage multiple priorities, adapt to evolving business needs, and meet deadlines.
• Willingness to work evenings and/or weekends as required.
• Experience in event planning, meeting coordination, and managing partner and vendor relationships.
• Experience in coordinating complex meetings involving senior executives, external partners, customers, and executive assistants.
• Proficiency in tracking action items, commitments, and follow-ups.
• Ability to adjust communication for different audiences and influence without formal authority.
• Negotiation and persuasion capabilities.
• Strong attention to detail.
• Understanding of the business, organization, and solutions that support the organization.
• Competence in managing expense reports and travel requests while adhering to timelines.
• Proven experience in supporting project team members and internal stakeholders both locally and virtually.
• Capability to resolve conflicts with appropriate escalation processes.
• Familiarity with social media platforms, including LinkedIn, Facebook, Twitter, YouTube, forums, wikis, and blogs.
• Annual bonus target of 5% subject to the terms and conditions of the plan.
