This is a fully remote position, open to applicants in Canada.
• Oversee intricate calendars, scheduling, and meeting arrangements for the CEO
• Assist with managing the inbox, ensuring follow-ups, and prioritizing communications
• Organize internal and external meetings across various time zones
• Prepare agendas, documents, and relevant materials for meetings as necessary
• Monitor action items and guarantee operational follow-through
• Facilitate executive workflow, organization, and time management
• Provide administrative assistance to the VP of Operations as needed
• Aid in document management, reporting, and process coordination
• Contribute to enhancing systems, workflows, and overall operational efficiency
• Uphold professionalism and confidentiality in all interactions
• Function effectively in a fully remote and dynamic environment
• Demonstrated experience in an Executive Assistant or senior administrative support capacity
• Experience in supporting senior leadership or executive teams
• Strong organizational skills and excellent time management abilities
• Capability to handle multiple priorities and adapt to changing deadlines
• Exceptional written and verbal communication skills
• Highly proactive with a robust problem-solving aptitude
• Comfortable working autonomously with minimal supervision
• Keen attention to detail and accuracy
• Advanced proficiency in Microsoft 365, especially Outlook and Teams
• Tech-savvy and adaptable to new systems and productivity tools
• Prior experience in a fully remote work setting is highly preferred
• Familiarity with Dialpad or similar communication platforms is considered a plus.
