This is a fully remote position, open to applicants in Serbia, +4 more states.
• Deliver exceptional customer service and comprehensive support to the Head of the Internal Medicine business unit.
• Organize both domestic and international travel arrangements, including flights, accommodations, ground transportation, visas, and detailed itineraries.
• Schedule meetings within the U.S. and internationally, taking into account the time zones of global participants.
• Cultivate strong relationships with colleagues worldwide.
• Draft, proofread, and edit correspondence, documents, and publications using MS Word, MS PowerPoint, and other Microsoft Office tools.
• Manage confidential and sensitive issues with utmost discretion.
• Oversee complex and proactive calendar management, including meetings with direct reports and leadership gatherings.
• Maintain SharePoint calendars and ensure timely entry of events.
• Coordinate off-site meetings and conference participation for the BU Head and Internal Medicine Team.
• Adapt calendar and meeting plans to swiftly changing priorities and circumstances.
• Provide administrative assistance for the Internal Medicine Business Unit, including compliance monitoring.
• 2–4 years of experience as an executive assistant in an office/business setting.
• Over 5 years of office/business experience.
• Proficient in Microsoft Office applications and adept at creating materials for both internal and external audiences.
• Familiarity with Microsoft Teams is advantageous.
• Capacity to anticipate evolving needs and priorities.
• Strong organizational skills with the ability to prioritize tasks while maintaining flexibility and attention to detail.
• Excellent interpersonal skills for fostering effective relationships with BU Heads, colleagues, and clients.
• Ability to juggle multiple tasks and projects concurrently.
• Confidence in addressing and escalating challenging situations efficiently.
• Solid understanding of MS Office products and a willingness to learn and adapt to new technologies and systems.
• Outstanding critical thinking and problem-solving skills.
• Extensive experience with travel planning applications.
• Knowledge of Concur would be beneficial.
